SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.

 

SPECIFIC DUTIES & RESPONSIBILITIES:

• The incumbent functions as the clerical/administrative support for the Bureau of Substance Abuse and Treatment Services. This position assist the Bureau Chief for Substance Abuse and Treatment Services in a variety of duties requiring independent judgment and initiative in carrying out assignments related to statewide substance abuse and other re-entry program services in correctional institutions and community based facilities.

 

Assists the Bureau Chief and other professional staff in a variety of administrative functions to include preparation of letters, updating information on computer data base, retrieving and disseminating information and communicating with other Department staff to ensure working order of the Bureau of Substance Abuse and Treatment Services.

 

• Screens incoming phone calls and correspondence and provides responsive information to those inquiries not requiring personal review of the Bureau Chief or other Substance Abuse Program Services professional staff. Reviews and distributes incoming mail. Prepares drafts and finalizes correspondence and reports for the Bureau Chief and other Substance Abuse Program Services professional staff. Develops and maintains a tracking system of incoming correspondence and projects to ensure timely reply or action.

 

• Maintains the Bureau Chief’s calendar and itinerary as well as the Bureau’s calendar to include staff schedules and approved leave. Assists with preparing closed substance abuse treatment files for scanning. Assists with contract file monitoring.

 

• Assembles materials and information in preparation for meetings, workshops, conferences, training, and other functions. Makes travel arrangements to include hotels, rental cars, transportation, prepares travel itineraries and reimbursement vouchers for the Bureau Chief for Substance Abuse Services and keeps the Bureau Chief informed of calendar items.

 

• Coordinates with other Bureau staff in the maintenance of all office machines and equipment, telephone coverage and receiving of telephone calls and visitors as necessary.

• Responsible for purchase card reconciliations, ordering and maintaining an inventory of office supplies, preparing requested purchase orders and inventory upon receipt.

 

• Assists the Bureau Chief and other professional staff in inmate referrals to community based substance programs to include the independent preparation of referral letters, updating information on computer data base, retrieving information and statistics, and requesting transfer orders and sending other pertinent messages through the department’s message system.

 

• Assists in evaluation of community surveys and in the analysis of data on substance abuse services program services, program activities to include contact with instructional staff and other offices, collection of data, formatting of necessary forms and charts for review and administrative decisions and maintenance of a suspense file on outstanding work products.

 

• Computerizes, organizes and maintains a complex system of current and inactive files, reports and other information pertaining to substance abuse services programs.
