Florida Department of Health is looking for a self-motivated, hardworking individual with excellent management experience and skills to fill our Health Information Specialist position. 

 

Minimum Qualifications:

  • Florida Department of Health is required to work before, during, and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs shelter or performing other emergency duties including but not limited to, response to or threats involving any disaster or threat of disaster man-made or natural
  • Verifiable experience with health management systems within the last year
  • Verifiable experience with insurance verification systems within the last year

Preferred Qualifications:

  • Verifiable experience with electronic filing in the Electronic Health Record within the last year

 

JOB DUTIES AND RESPONSIBILITIES:

The incumbent to this position will provide a variety of administrative support services and client coordination duties within the Florida DOH in Seminole County clinical area. Duties will include but not limited to the following. This position is also responsible for the client’s registration and preparation of the medical record for clinic visit, ensuring to maintain 100% confidentiality at all times.

Health Information Management - Responsible for ensuring the timely and accurate monitoring and auditing of all Electronic Health Records ensuring all scanned and attached documents are properly attached. Works with other departments to ensure quality customer services through identifying what records that have been scanned into Health Management System (HMS).  Reviews, researches and investigate missing electronic records, putting every effort forward to ensuring that missing records are found in a prompt manner and scanned into the correct file. Ensure electronic medical record number corresponds with numerical digit assigned by staff. Help to maintain a secure records room, notifies supervisor of any breach of security including identifying unauthorized employees who enter the secured area. Above task entails maintaining the security and safeguarding of all Protected Health Information (PHI) in accordance with state, local and federal laws.  

Scheduling/Support Coverage – Provide coverage to all positions in the Operations Department including Information Desk, Clinic Check-In, Eligibility, Prepping, Cashier and Appointments. He/she will be responsible for making clinical appointment for customers utilizing the state computerized system including but not limited to schedules, reschedules and cancels appointments in an efficient and timely manner, maintaining confidentiality at all times. Responsible for asking appropriate questions to clients to ensure the proper type of clinical appointment is set. This position requires excellent customer service and phone skills. Provide callers with information or telephone number for various areas within or outside of the health department for services. The incumbent to this position will be responsible for the registration and check- in of patients utilizing the operating a state-based computer software HMS and FLSHOTS. The incumbent to this position will check clients in for clinic services, following set policies, maintaining 100% client confidentiality. Direct the resident of our community that seeks services to the various sections with the health department. Verify client’s appointment in the system and direct them to the proper areas. Provide callers with information and/or telephone number for available resources in the community. The incumbent to this position will act as a representative providing client and visitors of FLDOH with information and directions

Record Releases - Execute the timely and accurate sending of information and completeness of information provided. Must thoroughly review documents within electronic records before sending to ensure no breaches of information. Understands and complies with all HIPAA rules and regulations regarding discloser/release of protected health information (PHI).  Maintains the security and safeguard of all PHI forms and information in accordance with state, local and federal laws. Maintains responsibility for the execution of Authorization to Release Protected Health Information forms. Assists customers with completion of forms. Sends via mail or fax medical information to various doctor's offices, hospitals, etc. Scans all documents into EHR (Electronic Health Record) in attached section of EHR and label correctly. Maintains electronic log for all records released, obtained or unable to comply. 

Other duties – The incumbent will attend all assigned meetings, trainings, staff meetings and participate in teams as identified by their immediate supervisor including policy update trainings.  He/she will perform and all other duties as assigned by their supervisor which supports their department and the FDOH in Seminole County.
