Emergency duty required includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disasters or threat of disaster, man-made or natural. This position will maintain confidentiality and security of records as specified by departmental regulations and laws.

Your Specific Responsibilities

Under the Supervision of the EXECUTIVE COMM HEALTH NURSING DIR - SES, the incumbent to this position will provide a variety of health services and client coordination duties and responsibilities within the Clinic/Laboratory/Community area of the Health Department.  Duties will include but are not limited to the following.

The incumbent in this high-level administrative position with clinical skills that will assist a variety of clinical positions and programs within the Clinical Department of the Florida Department of Health in Seminole County.  The incumbent research gathers data and prepare reports; may independently initiates special projects with supervisor approval; provides support and assistance to further the achievement of the goals of the work unit within the clinic of the Florida Department of Health in Seminole County and provides assistance and guidance to internal and external customers.  The incumbent will exhibit effective communication skills, a positive demeanor, courtesy, respect & understanding in working with clients, their families, the public, community partners and coworkers. Continually works toward championing the mission, vision and goals of the Florida Department of Health in Seminole County.

Responsible for ordering and maintaining medications/supplies for the clinic, mobile clinic,  and immunizations; maintaining medications in emergency medication kits throughout the agency and carts for emergency preparedness response; maintaining department purchasing and reconciles reports with department records; generating reports, memos, presentation materials, spreadsheets and graphics using various computer programs. Orders supplies for emergency shelter carts.

Acts as liaison between staff and outside agencies and organizations as instructed. Performs and coordinates scheduling tasks and support services associated with preparing and planning for meetings/trainings. Manage calendar and coordinate meeting agendas and correspondence for Executive Community Health Nursing Director and Senior Community Health RN Supervisory and other Leadership roles as instructed.  Prepares letters and correspondence to be sent out to clients, physicians, staff or the public.  Assists the RN Supervisor with general administrative duties as needed.  Greets customers and meets the needs staff in a timely manner as instructed. Checks mail for the department daily. Serves as contact person for issues related to copiers in Clinic Team Room and immunizations’ (supplies/service).  Maintains schedule of maintenance services for equipment within the clinic. Assists with preparing Nexplanon removal and insertion kits and stocking clinic rooms. Ensures adherence to State procedures & HIPPA guidelines, to protect the rights and confidentiality of clients and maintain the integrity of the agency and the client.

May at times be required to assist with making appointments for clients as needed for clients within clinical services. May also be required to provide a variety of health services and client coordination duties and responsibilities within the Clinic/Laboratory to include specimen collection of blood, urine and other bodily fluids ordered by clinical representative as required for analysis. 

The incumbent to this position will help maintain responsibility in the conduction of in-house and mobile/outreach testing, to include pregnancy tests, clean catches, urine collection, collection of blood, specimens for cultures/smears, and finger sticks. The incumbent will maintain responsibility for initiating, analyzing, completing, and logging results within the tracking mechanisms implemented.  Results will be provided to clinical representatives in a timely fashion and copies filed. Incumbent will follow up with billing lab invoices and provide billing information to our Billing Dept

May assist with cashiering as needed for clinic/immunizations, assuring that payments are collected from patients. 

Incumbent may be required to work beyond normal work hours in response to disasters and Public Health Emergencies including being assigned to Special Needs Shelters.

Required Knowledge, Skills, and Abilities:

Knowledge of computers and programs to include Microsoft, Outlook, Office, PowerPoint, and Excel. Knowledge of how to operate office equipment to include computers, copier, scanner, etc. Knowledge of general office procedures, practices, and organization skills; cultural sensitivity; medical technology practices and procedures; the types of laboratory tests; laboratory equipment and testing procedures; chemicals and reagents; the significance of laboratory tests.  Skill in operating laboratory and scientific equipment for conducting tests; providing professional customer service; taking vital signs.  Ability to communicate effectively; establish and maintain effective working relationships with others; use online computer system and word processing; do basic math calculations and good language skills; organize and maintain files and records efficiently; follow instructions and review data for accuracy and completeness; function in a busy environment; perform multiple tasks while maintaining organization of area.

Qualifications:

Minimum:

2 years of experience registering and scheduling client appointments in a medical office management or health care setting

2 years of clerical/administrative work experience to include data entry, excel spreadsheet, PowerPoint presentations, and creating reports

Experience with ordering supplies and inventory control

Preferred:

Phlebotomy Certificate or are willing to take the course within 6 months of hire
