Overview:

The Florida Gaming Control Commission is responsible for exercising all regulatory and executive powers of the state with respect to legal gaming, including pari-mutuel wagering, cardrooms, slot machine facilities, oversight of gaming compacts, and other forms of gambling authorized by state law, excluding the Lottery, as well as directly enforcing Florida’s gaming laws and combatting illegal gambling activities.

 

The agency is overseen by five Commissioners who are appointed by the Governor, with Commissioners appointing an Executive Director who leads a team of more than 200 staff members. The mission of the Florida Gaming Control Commission is to preserve and protect the integrity of gaming activities through fair regulation, licensing, effective criminal investigation, and enforcement.

Position Duties and Responsibilities:

The Commission's Division of Gaming Enforcement is searching for an Administrative Assistant for our Southwest Regional Office to assist with the handling of administrative and clerical functions. This position provides administrative support to the Special Agent Supervisor and the regional office. Duties include:

  • Assisting with answering the main telephone switchboard for the unit;
  • Responsible for receiving and distributing incoming mail and faxes;
  • Reconciling monthly invoices;
  • Accepts court subpoenas for law enforcement personnel, logs subpoenas, and distributes them to law enforcement;
  • Assisting in completing monthly fleet reports and submitting reports to headquarters; 
  • Assisting law enforcement personnel with travel by completing travel documents and securing hotel accommodations;
  • Collecting and entering specific investigative information into tracking documents and reporting the information to headquarters;
  • Assisting with maintaining the filing system;
  • Assisting with special projects assigned by the Special Agent Supervisor;
  • Coordinating with the Director of Administration and the division's Business Liaison in matters relating to administrative work such as Purchasing, Accounting, Human Resource Management, Property Assets, etc;
  • Collecting all property from regional office agents and personnel upon separation and coordinating with the Administration;
  • Managing all southwest division property assets in accordance with the policies and directions from Administration;
  • Maintaining a current list of phone numbers for regional office personnel;
  • Assisting office visitors for the regional office;
  • Completing receiving paperwork for all purchases;
  • Conducting or assisting in the annual property inventory for the Division as requested by the Commission's Property Asset Coordinator;
  • Assisting agents in reconciling fictitious accounts;
  • Discussing, collaborating, and planning with the Information and Technology unit regarding current and future information technology needs; and
  • Performing other duties as assigned.

 

Knowledge, Skills, and Abilities:

  • ​Knowledge of computer software programs and administrative principles and practices.
  • Knowledge of general office procedures, filing, telephone techniques and office equipment.
  • Knowledge of the principles and techniques of effective communication.
  • Knowledge of Standard English usage, spelling, grammar, punctuation and proofreading.
  • Ability to maintain as confidential a variety of criminal information.
  • Ability to collect, evaluate, and analyze data relating to administrative functions.
  • Ability to prepare correspondence and administrative reports.
  • Ability to plan, organize, and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to use available technology to perform duties including computer software, hardware, and data systems.

 

Minimum Qualifications:

  • Three (3) years of administrative or clerical experience in an office setting; or an associate’s degree from an accredited college or university and one year of administrative or clerical experience in an office setting.
