We are looking for a highly organized and detail-oriented Immunization Program Clerk to join our team at the Florida Department of Health in Sarasota. In this vital role, you’ll serve as the welcoming first point of contact for families seeking vaccine services, helping schedule appointments, gather information, and ensure a smooth, supportive experience. You’ll play an important part in keeping our community healthy by reaching out to parents of children due for upcoming vaccines, verifying immunization histories, and preparing required documentation such as DOH 680 forms and school or daycare certificates. This position blends meaningful public health impact with dynamic administrative responsibilities, including maintaining accurate records in FL SHOTS and HMS, assisting with client education, and supporting internal communication. Your Specific Responsibilities:
- Provide exceptional customer service and serve as the primary point of contact for client inquiries
- Schedule appointments, gather client information, and support outreach efforts for upcoming vaccine needs
- Verify immunization histories and prepare official documentation, including DOH 680 forms
- Maintain accurate records in FL SHOTS and HMS
- Operate standard office equipment and manage routine administrative tasks
- Respond to communications and updates from leadership in a timely manner
- Support client education on the importance of immunizations
- Contribute positively to a collaborative and mission driven team environment
Required Knowledge, Skills, and Abilities:
- Excellent customer service skills, including strong telephone etiquette
- Strong computer skills, with the ability to work between two databases or programs simultaneously
- Proficiency in Word, Excel, and Outlook; knowledge of HMS and FL SHOTS is a strong plus
- Accurate and efficient data entry skills
- Ability to communicate effectively, pleasantly, and respectfully in a culturally sensitive manner
- Ability to function well in a fast‑paced and sometimes noisy environment
- Strong organizational skills with the ability to manage workload and meet deadlines
- Excellent assessment skills, including the ability to understand complex instructions and evaluate immunization records
- Creative problem‑solving abilities
Qualifications:
Minimum –
- Valid driver’s license or access to reliable transportation
Preferred –
- A high school diploma or GED
- 1 to 3 years of clerical experience (each year of experience may be substituted with 30 college semester hours or 720 hours of vocational training)
- Up-to-date immunizations as recommended by the CDC
- Experience in customer service, insurance verification, data entry, and scheduling
