This is a highly responsible position requiring independent thinking and detailed data keeping.
What you will do:
Communicate with the Fleet Coordinator if there are any accidents or WEX card is lost or stolen, or if vehicle becomes inoperable. Note that any quotes for service that exceed $1500 must receive prior approval from the Fleet Coordinator.
Submit Monthly Vehicle Recap form along with Vehicle Usage Record and any receipts to Fleet Coordinator (and backup) by the 5th of each month.
Also ensure that vehicle inspections are being done. There is a 1-month, 3-month, and annual inspection due for each vehicle. This can be done by the user’s supervisor. Have the users submit the form with their monthly paperwork, and forward that to the Fleet Coordinator every month. The Vehicle Coordinator will be responsible for inspecting any pool vehicles and submitting that paperwork with the monthly report.
It is the vehicle coordinator’s responsibility to know who is using the state car. Please become familiar with drivers and their vehicles.
Assign vehicles to staff
Update a spreadsheet
Maintain unassigned vehicles
Routine Clerical Office Duties
Other assignments as per Supervisor of the unit
