Your Specific Responsibilities:

This position is responsible for interviewing all clients upon entrance to the DOH-Hernando programs to determine initial and continuing eligibility for service. Interviewing all clients for the purpose of obtaining pertinent information as appropriate. Screens and schedules all client appointments for all medical health clinics. Assists in preparing clients’ medical records for scheduled clinic visits. This position must have a working knowledge of all the different medical services provided by the DOH-Hernando. Must be capable of making independent judgment and decision making as the need arises. Works as receptionist, providing general information as requested by clients. Electronically signing in clients and providing clients with patient routing software at sign in.  Acts as the key holder for the receiving room, managing the users to open and retrieve and place parcel packages in receiving room.  Answers telephone for incoming calls directed from the Appointment Desk line scheduling and confirming clinics appointments verifying insurance status and updated demographic information. and programs. Obtaining documentation of accurate demographic information, i.e.., address, date of birth, name, social security number, Medicaid numbers, etc.  Verifies Medicaid, Medicare, Health Management Organization (HMO), Private insurance and financial eligibility in the proper computer screen upon intake of all the clients for services provided through DOH-Hernando.  Update, organize and maintains all client record.  Scanning necessary documents such as Photo ID’s, Custodial papers, Court orders, required signature pages per all policy and procedures.  Working with Florida Shots (FLSHOTS) entering new clients and updated demographic or existing clients in the system.  Ensure HMS has FLSHOTS ID number on the demographic page.

Lead Worker Duties:

Train new Senior Clerk staff on all aspects of making appointments, prepping charts, accepting payments and updating HMS.  Request access for new staff to FLSHOTS, HMS and other computer programs needed to perform job functions.  Train new staff on these computer programs. Review with all new and existing staff the appropriate coding for EARS and what each coding category means for DOH-Hernando. Training on the operating of phone systems including, staff extensions, responsible staff, and answering the phone correctly per the policies.  Assist with making client appointments, updating insurance, and billing of clients upon exit.

Maintain online and in-clinic fee schedules with current fees.  Maintain all forms used in Client Services to ensure they are the current version per DOH policy and information put out by insurance, Medicaid or Medicare.  Work with Fiscal Billing team for Hernando to ensure all fees are current in HMS.

Completes all mandatory trainings as well as other in-service programs and workshops with regards to various programs offered at DOH-Hernando.  Type routine correspondence, memorandums and reports as requested.

Qualifications:

Must be a  current DOH employee in an OPS/CS/SES/SMS position.

Must have one or more years of experience working in Client Services Department.
