This is an independent and responsible position in FDOH-SJC Administration that completes administrative tasks and/or assignments.
This position provides operational support for the Environmental Public Health Department of FDOH-SJC but also assists throughout the agency as needed. This position works independently but must also work with coworkers to accomplish deliverables as a team. This position encourages coordination and communication between all areas of FDOH-SJC.
The duties, in coordination/collaboration with the Environmental Administrator and the Public Health Services Manager, include but are not limited to:
- Answering phone calls and handling appropriately and professionally
- Monitoring and responding to emails from clients
- Processing payments appropriately and timely per policy
- Maintaining operating and services permits for Onsite Sewage Treatment and Disposal Systems (OSTDS)
- Processing of applications by email, fax or in-person
- Assembling file folders with application paperwork
- Routing and tracking file folders throughout the processing steps
- Monitoring file folders from application to permanent file location
- Maintaining construction permits for OSTDS
- Processing of applications by email, fax or in-person
- Assembling file folders with application paperwork
- Routing and tracking file folders throughout the processing steps
- Monitoring file folders from application to permanent file location
- Maintaining private and irrigation well applications
- Processing of applications by email, fax or in-person
- Assembling file folders with application paperwork
- Routing and tracking file folders throughout the processing steps
- Monitoring file folders from application to permanent file location
- Assisting clients with water sampling and testing process for private water wells
Performs support functions for FDOH-SJC which includes but is not limited to, working with clients and vendors, answering telephones, processing mail, completing check logs, and providing support for all FDOH-SJC projects and deliverables. Coordinates and participates in meetings and trainings as requested. Completes meeting minutes and meeting follow up as needed. Provides excellent customer service on the telephone and in person.

Required Knowledge, Skills, and Abilities:
Knowledge, skills, and abilities, including utilization of equipment, required for the position:
- Knowledge of the principles and techniques of effective communication
- Skilled in meeting deadlines and organizing
- Skilled in using equipment such as, computers, copiers and scanners
- Ability to conduct effective time management
- Ability to work independently
- Ability to handle and prioritize multiple tasks
- Ability to work with Microsoft applications
Qualifications:
Licensure/registration/certification requirements (If applicable, list the appropriate Florida Statute or federal regulation cite): valid driver’s license
Other job-related requirements for this position: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
