CONDITIONS OF EMPLOYMENT:

  1. New employees of the Department of Military Affairs will be required to pass a pre-employment drug screening.
  2. New employees of the Department of Military Affairs are required to participate in a direct deposit/electronic transfer program. 
  3. The Department of Military Affairs is paid on a monthly basis.

MINIMUM REQUIREMENTS:

  • A High School Diploma or equivalent; AND
  • Three (3) years of professional, administrative full-time-equivalent experience.
  • Education may substitute for experience on a year-for-year basis.

 

PREFERRED QUALIFICATIONS:

  • One (1) year of mailroom experience; OR
  • One (1) year of publishing experience.

 

DUTIES AND RESPONSIBILITIES:

  • Assists customers with configuring print projects in order to ensure the highest level printing products to all FLARNG members.  Distributes print request and ensures print log is maintained.  Maintains communication with requestors on print jobs and assists with creating forms or documents if needed by customers. 
  • As the publications manager for the State of Florida, process all DA-12 forms and assists customers who may have issues with publications.  Maintains oversight of publications, FLARNG publications library, and management of FLARNG publications accounts.  Completes the quarterly Installation Status Reports (ISR).  Orders publications and/or forms when requested by FLARNG units.
  • Serves as alternate for records management operations.  Provides general assistance with Army Records Information Management System (ARIMS) and provides support to customers and team members as required; assists FLARNG customers with development and maintenance of unit record archives; assists with design and development of FNG forms and maintenance of FLARNG SharePoint site. 
  • Serves as alternate for mail operations.  Maintains daily mail runs; receives packages; assists with customers coming to pick up mail or packages; assists with packages that need to go to UPS or USPS; sorts mail that comes from various vendors such as UPS, USPS, FEDEX, or inter office mail.  Assists FLARNG customers with online postal accounts and provides technical assistance and guidance to new online postal users.  Produces installation status reports, enters data into the ISR website monthly, and prepares reports on a quarterly and annual basis.

 

KNOWLEDGE, SKILLS, AND ABILITIES: 

  • Knowledge of office automation operations and equipment.
  • Knowledge of letter, report, and tabular formats.
  • Knowledge of office procedures.
  • Knowledge of data processing equipment, operations, procedures, and workflow.
  • Knowledge of basic terminology and procedures in the areas of data processing and computer programming.
  • Knowledge of Microsoft Windows, Adobe Photoshop, Adobe Dreamweaver, Adobe In Design, Adobe Illustrator, PowerPoint, Excel, and the internet.
  • Knowledge of basic mathematics.
  • Skill in operating a variety of printing equipment and multi-functional devices.
  • Ability to interpret and respond to computer & copier error messages.
  • Ability to detect data processing equipment malfunctions.
  • Ability to perform mathematical calculations.
  • Ability to communicate technical data processing information effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to install, troubleshoot and maintain office automation equipment.
  • Knowledge of distributed processing operations, procedures, and equipment.
  • Knowledge of problem solving techniques.
  • Knowledge of computers and software.
  • Ability to process information logically and solve problems.
  • Ability to develop training related to Microsoft products and other software products peculiar to the Florida National Guard.
  • Ability to communicate effectively.
