CONDITIONS OF EMPLOYMENT:
- New employees of the Department of Military Affairs will be required to pass a pre-employment drug screening.
- New employees of the Department of Military Affairs are required to participate in a direct deposit/electronic transfer program.
- The Department of Military Affairs is paid on a monthly basis.

MINIMUM REQUIREMENTS:
- A High School Diploma or equivalent; AND
- Five (5) years of professional, full-time-equivalent experience in Purchasing, Accounting, Finance, or related field.
- Education may substitute for experience on a year-for-year basis.
DUTIES AND RESPONSIBILITIES:
- Responsible for initiating Florida State Guard (FSG) and State Active Duty (SAD) missions. Purchase Requests in My Florida Market Place (MFMP). The review will consist of proper coding, proper authorization for the commodity/service, compliance with statute/administrative code and conferring with departments to determine unusual commodity needs in terms of quality, quantity, and type of equipment. Ensure items requested are received in MFMP and paperwork forwarded to the finance office for timely payment.
- Responsible for FSG and SAD in soliciting commodities/services utilizing the State of Florida Purchasing Card system. This includes conferring with departments to determine unusual commodity needs in terms of quality, quantity, and type of equipment, vendor selection, and coordination of purchase, method of delivery and invoice reconciliation and submission for payment. Ensure credit card receipts are sent to accounting within the ten days of time of charge. Process invoices for recurring accounts and maintain spreadsheets keeping accounts current.
- Maintain and support office operation and administrative activities as required.
- Process correspondence and information in a timely manner.
- Provide customer service to all personnel.
- Support the Department of Military Affairs with all purchasing responsibilities.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of the principles and practices of purchasing.
- Knowledge of pertinent state guidance regarding payments.
- Knowledge of automated methods of project management.
- Knowledge experience relating project status to corresponding contracting actions.
- Skills in initiating and executing contracts from award through close-out.
- Ability to coordinate with key staff to determine status of contract.
- Ability to maintain filing systems.
- Ability to monitor multiple contracts concurrently.
- Ability to maintain timely and accurate contract and account balances.
- Ability to apply rules, regulations, policies, and procedures relating to the purchasing process.
- Ability to plan, organize and coordinate work activities.
- Ability to utilize problem-solving techniques.
- Ability to maintain purchasing records.
- Ability to communicate effectively.
- Ability to establish and maintain effective working relationships with others.
