This is a highly responsible office position serving as a Deputy Registrar in the Vital Statistics office of FDOH-St. Johns based on state and local codes.

 

This position is responsible for activities related to the Vital Statistics Program.  These activities include but are not limited to:

  • Reviewing records for completeness, accuracy and duplicate entries prior to filing
  • Preparing vital records’ certifications in response to public requests
  • Issuing birth and death certificates
  • Supporting enforcement of state laws governing vital records registration
  • Reviewing, maintaining and reconciling required safety paper logs for all certificates issued
  • Monitoring the Electronic Death Registration System (EDRS) records for deaths occurring in St. Johns County to ensure timely filing
  • Issuing burial transit permits for dispositions within the county
  • Reviewing daily reports that include but are not limited to missing, duplicate and safety paper usage
  • Collecting fees for certified copies of certificates
  • Remaining accountable and ensuring the security of Vital Statistics Security Paper
  • Maintaining operational readiness to manage office functions in the absence of the Chief Deputy Registrar
  • Following up on late and pending death records.
  • Evaluating cause-of-death entries for potential Medical Examiner jurisdiction
  • Monitoring and enforcing filing timelines for all vital records
  • Attending required trainings, meetings and conference calls
  • Providing training and guidance to midwives and funeral directors on proper record preparation and filing
  • Developing and maintaining working relationships with community partners
  • Vitals Training completed within six months of hire date

This position is responsible for activities related to vital statistics and the County Tax Collectors office.  These activities include but are not limited to:

  • Monitoring office activities within the county and maintaining working relationships with staff
  • Collecting and auditing Tax Collector paper applications to ensure accurate entry into the E-Vitals system and eligibility compliance
  • Visiting Tax Collector sites for assistance as requested by supervisor

Performs other duties as assigned.

 

Required Knowledge, Skills, and Abilities:

Knowledge, skills and abilities, including utilization of equipment, required for the position:

  • Knowledge of the principles and techniques of effective communication
  • Knowledge of office procedures and practices
  • Must have basic computer ability to adequately utilize a computer
  • Must have a basic ability to work with numbers accurately
  • Must be physically able to lift up to 20 lbs., bending, stooping or squatting, and considerable walking.
  • Ability to handle restricted and confidential information in a professional manner and maintain the information as such
  • Knowledge of E-Vitals, FL Statutes pertaining to Birth and Death Certificates

Other job-related requirements for this position: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, manmade or natural.
