Minimum Qualifications:
A High School diploma or GED and 2 years of administrative experience or

An associate degree in business/communications or similar from an accredited college or university and two years of administrative experience; or

A bachelor's degree in business/communications or similar, from an accredited college or university and one year of administrative experience; or

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

Valid Driver’s License

Must be able to pass a level 2 background check 


Preferred Qualifications

Knowledge of and experience with current State of Florida purchasing rules and regulations

Experience with the P-card purchasing process and P-card Works

Experience with purchase orders and invoicing in My Florida Marketplace

2-years of customer service experience 

 

Requirements:
Employment in this position is contingent upon a satisfactory Level 1 and Level 2 background check at no cost to the candidate. 
 

Office hours are from 8:00 A.M. to 5:00 P.M. Eastern Standard Time, Monday through Friday. Not eligible for Telework.

Position Overview and Responsibilities:

Provide exceptional customer service to all.

Assist in creating purchase orders, processing of invoices, and other financial processes.

Assist in communicating to the FWRI staff all necessary information needed to be in tune to Facilities Management programs and projects.

Parking lot reservations manager: assist with parking issues on St. Petersburg campus and maintain parking database.

Process perquisite forms and maintain tracking spreadsheet

Act as the Mahaffy Parking Garage Liaison.

Assist in a shared leadership role by planning, programming, scheduling, and creating reports with the CMMS program (Computer Maintenance, Management System) for Non-Asset PMs (Inspections), Asset Management, Asset PMs and Asset Predictive PMs and/or other data base experiences.

Proactively complete assigned non-asset PMs (safety walks and inspections).

Assist in creating and assigning corrective work orders as a critical need of Facilities team.

Perform by understanding/following all safety related rules to include OSHA, NFPA, FWRI, etc.

Perform vendor registration checks for Facilities Management.

Assist in managing various contracts for Facilities Management.

Assist in maintaining Facilities Management SharePoint Portal.

Assist in backing up the Facilities Organization as needed.

Assist in researching and communicating to outside vendors/contractors needed to complete the necessary projects within Facilities Management.

Assist as a back-up of utility invoices and FWC internal tracking for FWRJ (correct spelling) St. Petersburg and Cedar Key.

Assist in purchasing needed supplies, equipment, and tools for the facilities team.

Assist in the P-card tracking systems such as P-card works.

Assist in the hurricane and storm preparedness program.

Assist in the planning, setup and take down of Marine Quest outreach project and work overtime if needed the mandatory Saturday this event falls on with optional overtime.

Take pride in personal appearance and perform all duties with a commitment to excellence.

Maintain the security access/ID system and process employee ID badge requests.

Answer the main FM telephone line.

Assist staff and external agencies with conference room reservations and setup.

Order satellite and cell phones for staff and help troubleshoot phone issues.

Drive the rain shuttle as needed.

Act as liaison to I.T. for guest Wi-fi access.

Assist supervisor with assigned tasks as needed.

Perform other related duties as required. 


Knowledge, Skills and Abilities:
Knowledge of standard clerical/administrative office practices, principles, procedures and proficient skill in computer, keyboard, and internet.  Intermediate level working in MS Office programs; Word, Excel, Outlook, and Power Point.  Ability to gather data and prepare reports, perform basic math functions; communicate effectively verbally and in writing, outgoing personality, work independently, utilize problem-solving techniques, accurately perform detailed work; understand, interpret, apply, and communicate applicable rules, policies, and procedures; and establish and maintain effective working relationships.  Knowledge of customer service principles is a must.
