STAFF ASSISTANT - INTERNAL CANDIDATES ONLY
Your Specific Responsibilities:
The position provides staff assistance to the Nurse Family Partnership program manager and is responsible to perform functions requiring independent judgment which include the following: Inputs NFP data in a timely and accurate manner into the web-based information system (FLO’) and various other client tracking systems, including HMS. Complies with or assists in compilation of statistical information for special reports. Meet grant goals and objectives, programmatic and funder requirements, and licensure as applicable. Maintains standards and applicable regulations for personnel, medical records management, and programmatic/funder requirements. Maintains confidentiality and adheres to HIPAA regulations. Registers clients into HMS. Perform abuse report checks through FSFN.
Tracks program expenditures for assigned budget and provides periodic report to program manager. Completes ordering and purchasing of supplies via Purchasing and P-Card System. Complies with or monitors the mandatory requirements in Section 215.422, FS, and Chapter 69 1-24 of the FAC for processing goods and invoices. Maintains inventory for supplies, brochures and other necessary items for program operation. Prepares travel authorizations, monthly trip logs and travel vouchers and reviews for accuracy travel to be signed off electronically by the Director. Complies with the mandatory requirements in Section 215.422 and Chapter 3A-24 of the Florida Administrative Code for processing goods and services.
Provides administrative support to the NFP program manager. Coordinates and schedules weekly team meetings, and any additional meetings requested by the program manager. Prepares meeting minutes timely and as needed. .Assists in the preparation of the monthly NFP reports, JWB requests for data reports and others as requested. Assists NFP program manager by facilitating the approval and tracking of invoices, agreements and contracts.

Qualifications:
High school diploma required
1 year of knowledge in using Microsft office suites: PowerPoint, MS Word, Excel and Outlook
1 year of experience in AOD/MFMP and WORKS
1 year experience in office setting and practices that relate to secretarial duties.
