This is a professional position that reports to the Contract Administrator in the Contract Administration Unit (CAU) and assists with maintaining the Contract Administration Tracking System (CATS).

The incumbent must have working knowledge of state laws, rules and regulations, and must work independently, with minimal direction.

Duties and responsibilities for this position are as follows:

 

This position is responsible for providing technical assistance and support to Agency customers concerning the Contract Administration Tracking System (CATS).

Assisting in the enabling and disabling of user access in CATS.

Assisting in the developing and updating of CATS-related job aids and procedures, as required.

Assisting with full implementation and use of the CATS system by Agency staff.

Assisting the CATS Administrator to ensure all required information is timely and accurately entered into the Florida Department of Financial Services’ (DFS) Florida Accountability Contract Tracking System (FACTS).

Working with Agency customers to address ideas and develop solutions to ensure the CATS system meets the Agency’s needs.

 

Serving as the point of contact for the Bureau regarding public records requests.

Working with other members of the bureau to ensure that all responses are accurate and provided to the requestor in a timely manner.

Serving as the point of contact for all vendor insurance certificates and performance bonds.

Ensuring all bonds are approved by legal counsel and that both certificates and bonds are accurately added to contract record.

 

Conducting ongoing quality assurance reviews of contracts and agreements that have processed through CATS and FACTS, and identifying, addressing, and correcting issues.

 

Assisting with contract assignments, including but not limited to contract review and lead of assignments.

Assisting in the development and processing of Contract Amendment documents pertaining to changes in Contract Managers, extensions, renewals, and budget increases/decreases.

Assisting in the assignment of new contracts/amendments received by the Procurement Office, ensuring all required documentation and forms are completed.

 

Assisting in entering and maintaining contracts in MFMP, ensuring that all contract information is up-to-date, and that accurate budget/accounting information is properly entered into the contract record.

 

Conducting annual contract file reviews, documenting identified issues and deficiencies and working with the contract manager to address and correct the issues identified.

 

Performing special projects and/or other related duties as required.

MINIMUM QUALIFICATIONS REQUIREMENTS

One (1) year of professional work experience using Microsoft Office products, such as Word, Outlook, Excel, and PowerPoint.

One (1) year of professional work experience providing administrative assistance and exceptional customer service.
