The Administrative Professional is responsible for providing comprehensive administrative support to the Florida Rural Health Transformation Program Office.

This position supports the Director and Deputy Director, manages daily administrative operations, and ensures effective coordination of communications, scheduling, travel, HR processes, and internal program needs.

The Administrative Professional maintains the RHTP inbox, supports onboarding and administrative tasks for new staff, and collaborates with other administrative personnel across the Agency to ensure smooth program operations.

This role is essential for maintaining organized records, timely responses, and efficient administrative workflows that support statewide program activities.

 

Key Responsibilities include:

Provide daily administrative support to the Director, Deputy Director, and program office.

Manage calendars, schedule meetings, coordinate appointments, and ensure proactive communication of upcoming deadlines and needs.

Assist with HR processes, including onboarding support for new employees, completing administrative forms, and coordinating required training or documentation.

Coordinate travel arrangements, itineraries, and expense reimbursements in accordance with state policies.

Manage the RHTP program inbox, triage inquiries, and ensure timely and accurate responses in coordination with the program team.

Support the preparation, formatting, and distribution of documents, presentations, reports, and briefing materials.

Assist in coordinating statewide program activities, including regional meetings, workgroups, and leadership sessions.

Work closely with other administrative staff across AHCA to support program needs and ensure alignment with Agency processes.

Maintain program records, files, databases, and documentation systems, ensuring organization, accuracy, and confidentiality.

Coordinate the flow of correspondence, including public records requests, communication requests, legislative inquiries, and other incoming materials.

Track deadlines for leadership responses, project requirements, or administrative deliverables and ensure follow through.

Support logistical activities such as room reservations, meeting preparation, technology setup, and communications with participants.

Monitor and order office supplies and equipment as needed, ensuring readiness of the program office.

Assist with updates to program documents, forms, templates, and communication tools.

Provide general administrative support to team members as needed to ensure smooth program operations.

 

Perform other duties as assigned.

 

A good attendance record is essential for any individual in this position as the work involved occurs daily and is time critical. The individual in this position is expected to report to work daily and on time. Leave must be requested in advance except in emergency circumstances not under the control of the employee.

MINIMUM QUALIFICATIONS REQUIREMENTS

Four years of administrative experience is required.

A bachelor’s degree from an accredited college or university can substitute on a year-for-year basis for the required experience.

 

Preference will be given to candidates with:

Experience working in a state government, health care administration, or public health environment.

Experience with public records processes or coordinating responses to official requests.

Experience supporting senior leaders or executives in a fast-paced office.
