This is independent work assisting management in the coordination of tasks and/or assignments which are complex in nature and broad in objective with integration of diverse functions. The incumbent in this position shall maintain up-to-date knowledge of the Human Resources Personnel policies.
The incumbent in this position will primarily perform the following duties: prepare correspondence and respond to telephone inquiries. Uses Microsoft Office programs (Word, Excel etc.) to input and procure data in a timely and accurate manner.
Responsible for ensuring all hard and electronic copy of personnel files are complete and electronically scanned in the appropriate file locations inside the election filing system (Laserfische). Responsible for timely pulling, scanning, archiving, all electronic personnel and criminal history background screening files in accordance with agency policies and procedures and the Department of State.
Maintains a HR retention schedule and tracking log for all archived personnel documents and files.
Gathers public record requests related to employee personnel files or criminal history background check files. Reviews and redacts all necessary personal information that is exempt from public record in accordance with Chapter 119, F.S. Responds to all public record requests timely and in accordance with Agency and State policies.
Serves as backup to the Administrative Assistant to the Bureau in maintaining and inventory of supplies and equipment to ensure that staff have adequate resources to perform their job functions, conduct a periodic physical audit of supplies to verify accuracy and creating office supply orders using My Florida Market Place or P-Card as needed to order more supplies.
Serves as a Safety Warden for the Bureau and maintain up to date policy knowledge on office safety and security procedures.
Provides back up coverage to the front desk for the Bureau which includes, but is not limited to: receiving, screening and routing telephone calls; receiving, screening, and distributing all incoming mail; preparing, metering, and distributing outgoing mail, scheduling pick-up and delivery of mail, assisting walk in recipients with their questions or concerns and referring them to the appropriate HR staff member for assistance.
A good attendance record is essential for any individual in this position as the work involved occurs daily and is time sensitive. The individual in this position is expected to report to work daily and on time.
