The Bureau of Field Operations is responsible for the survey and certification process of health care facilities across the State of Florida.
These surveys ensure that all state licensed, and federally certified health care facilities meet the established state and/or federal requirements and patients and residents receive safe, quality health care.
Field Operations staff also ensure the safety of residents in health care facilities when emergencies such as natural disasters occur.
This position has been identified as mission essential.
The incumbent in this position may be required to work during the weekend or on holidays.
In addition, mission essential personnel will be required to work during disasters, to include but not limited to, work before, during and/or beyond normal work hours or days in the event of an emergency.
Emergency work may involve the incumbent to work in another county or staffing location to assist other State Agencies with emergency work.
Emergency duties may include, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
This is professional work performing regulatory activities for the Survey and Certification Support Branch in the Division of Health Quality Assurance, Bureau of Field Operations.
This position will work with other Data Team members where a large volume of public record requests, emails and phone calls are processed.
The work unit also oversees staff and provider training statewide.
Duties and Responsibilities include:
Prepares and reviews reports timely, ensuring proper handling of those that contain confidential and sensitive information.
This includes generating assignments from CorrFlow, and completing public record and Freedom of Information Act (FOIA) requests within timeframes assigned, redacting PHI/PII in accordance with Agency protocols.
Conducts Quality Assurance (QA) reviews to ensure data integrity of survey kits entered into the Automated Survey Processing Environment (ASPEN) and documents scanned into Laserfiche, correcting database entries as required and in accordance with Agency protocols. Collates and files documents as necessary.
Communicates in writing and by phone with other work units, consumers and providers as required to resolve QA and technical support issues and follows up as necessary.
Prepares materials for meetings/training, assists with equipment setup and provides ongoing support.
Acts as back-up receptionist for the unit, monitors CLOUD faxes, ensures incoming calls are answered and correspondence is handled timely.
Provides technical support to internal staff and external providers for regulatory-related projects including the processing of a high volume of emails, data entry into various systems (including Health Facility Reporting System (HFRS) during emergency events) and serves as backup for incoming calls to the ASPEN and Minimum Data Set (MDS) and Outcome and Assessment Information Set (OASIS) Help Desks.
Provides input and recommendations, assists in formulating and recommending programs and procedures to improve data integrity.
Performs other work as required.
A good attendance record is essential for any individual in this position, as the work involved occurs daily and is time critical.
The individual in this position is expected to report to work daily and on time.
Leave must be requested in advance except in emergency circumstances not under the control of the employee.

MINIMUM QUALIFICATIONS REQUIREMENTS
Two (2) years of professional or nonprofessional experience in administrative work with Microsoft Office and computer data entry.
An associate’s degree from an accredited college or university can substitute on a year for year basis for the required experience listed above.
Preference will be given to candidates with experience in ASPEN, Laserfiche, Versa Regulation, CorrFlow, CASPER and redaction tools/processes.
