Position Overview and Responsibilities

The SharePoint Administration Support position is within the FX Program Management & Support Unit in the Office of Florida Health Care Connections (FX) in the Agency for Health Care Administration. Responsibilities include providing administrative, SharePoint support, technical support, and process improvement and business analysis for projects supporting the FX Program. The candidate should be highly organized, technically skilled, have strong team building and communication abilities, and be capable of managing multiple projects.

 

In addition to the above, the duties and responsibilities for this position are listed below:

  • Provide Tier 1 and Tier 2 support to internal and external users on SharePoint and Office 365, including general troubleshooting, support needed to access, navigate, and use SharePoint and Office 365 features effectively.

 

  • Create and deploy new Classic and Modern SharePoint sites and related webparts in PWA, integrate SharePoint templates and lists with Project Web App (PWA), create and configure Hillbilly tabs, and ensure sites are organized and user-friendly.

 

  • Provide user access using Security Groups or AD Groups while ensuring secure access to sensitive data, and coordinate onboarding of new staff using an integrated Staffing List model in SharePoint produce related PBI reports, and ensure all processes are documented and followed.

 

  • Keep site templates up-to-date with the latest SharePoint and Office 365 updates and best practices.

 

  • Develop Power Automate workflows to automate ID tracking, updates, and user notifications for SharePoint lists.

 

  • Lead migrations of SharePoint list data with special field attributes tied to PWA to new sites, minimizing end-user disruption and ensuring data continuity.

 

  • Configure PWA list column validations using if-then statements to enforce data consistency and accuracy.

 

  • Collaborate with team members to ensure proper document management, documentation, and version control within SharePoint.

 

  • Conduct quarterly site audits to update access, confidential folders, and provide reports to IT Security manager, ensuring security and compliance.

 

  • Provide business analysis to implement process improvements where needed.

 

  • Assist in providing guidance, structure, and management for the generation of reports using data visualization tools such as Power BI, SSRS, and Excel.

 

  • Perform other duties as required.

 

 

Knowledge, Skills, and Abilities

  • Ability to collaborate with team members to ensure proper document management, documentation, and version control within SharePoint.

  • Ability to organize data into logical formats for presentation in reports, documents, and other written materials.
  • Ability to plan, organize, and coordinate multiple projects and work assignments.
  • Ability to provide Tier 1 and Tier 2 SharePoint and O365 support and general troubleshooting to internal and external users as needed to access, navigate, and use SharePoint features effectively.
  • Ability to work independently as well as in teams in order to meet deadlines.
  • Able to create and deploy new SharePoint sites, integrate SharePoint templates and lists with Project Web App (PWA), use ShareGate as requested, work with Classic and Modern SharePoint site webparts, and ensure sites are organized and user-friendly.
  • Able to lead migrations of SharePoint list data with special field attributes tied to PWA to new sites.
  • Able to utilize ShareGate for migration, site collection reports, permission matrix reports, and sites with custom permissions reports, streamlining site administration and management.
  • Have knowledge of basic process improvement principles and practices, methods of data collection, and analysis to identify waste, reduce variation, and enhance process efficiency.
  • Must possess the ability to establish and maintain effective working relationships with others.
  • Proficient with Microsoft SharePoint management, including user access management and site creation.
  • Proficient with the Microsoft 365 Office Suite.
  • Provide user access using Security Groups or AD Groups while ensuring secure access to sensitive data.
  • Understanding of best practices for management of Business Intelligence reporting, and the ability to create reports using data visualization tools such as Power BI, Tableau, SSRS, or Excel.

 

Minimum Qualifications

  • One (1) year of professional experience with SharePoint administration, including integration of SharePoint templates and lists with Project Web App (PWA), user access management, troubleshooting, and site creation.
  • Two (2) years of professional experience providing business analysis or process improvement services.
  • Two (2) years of professional experience with data visualization tools such as Power BI, Tableau, SSRS, or Excel.
