Your Specific Responsibilities:
This is a professional position reporting directly to the Deputy Director of Reemployment Assistance (RA) Program, providing high-level administrative support to the Deputy Director and RA management. The incumbent in this position in the course of carrying out his/her responsibilities, may have access to confidential information in the area of agency budget preparation and human resource related information and is exempt as Confidential in accordance with Ch. 110.205 (x) and Ch. 447.203 (4) & (5), Florida Statutes. This position directly assists the RA Deputy Director and RA management staff in a confidential capacity by performing duties relative to personnel, purchasing, budget and fiscal matters. Coordinates and directs office services, such as records, contract management, personnel, and related duties to aid the leadership staff.
Serves as personal and confidential assistant/coordinator for the RA Director and other management staff in RA. Maintains a system of control to ensure timely and accurate handling of a variety of duties and assignments.
Coordinates the delivery of annual performance evaluations for RA; tracks delivery and submits results spreadsheet to Deputy Director.
Coordinates, assigns, tracks, reviews and oversees the completion of selected activities of the Bureau Chief’s office. Uses independent judgment in delegating matters for handling to staff. Reviews records and reports which require action and recommends solutions or courses of action. Handles administrative questions and interprets and responds to staff as directed. Maintains current information of Division policies and staff and processes routine matters within established policies.
At the direction of leadership, this position performs functions to identify, analyze, and resolve policy and operational issues, and establish national best practices within the RA Program to ensure coordination and efficiency between administrative, program and operational aspects of service delivery. In addition, serves as a mentor and training resource to all RA administrative support staff at the direction of RA program managers to ensure adherence to the department’s policies and procedures.
Responsible for the coordination, tracking and management of special projects within the RA program: performs special assignments, prepares reports, conducts research, and provides administrative support within the office as assigned by the Director. Prepares and submits weekly status report, production report, Communications monthly report, monthly awards spreadsheet, and other items as necessary to the Director by the required deadline.
Serves as office manager for the Deputy Director’s office. Provides high-level administrative support to the Deputy Director and performs duties including, but not limited to, managing the Director’s calendar, scheduling meetings and travel, review/approve My Florida MarketPlace requisitions, etc., review/approve supply requisitions prepared by administrative staff; schedule division staff for training, ensure office coverage, and handle other items as needed.
Required Knowledge, Skills, and Abilities:
- Knowledge of Personnel Rules, Agency Policies and Procedures.
- Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to the improvement of management practices.
- Ability to plan, organize and coordinate work assignments.
- Ability to communicate effectively verbally and in writing.
- Ability to establish and maintain effective working relationships with others.
- Must have a good working knowledge of Microsoft Word and Excel
- Knowledge of advanced administrative and clerical procedures and systems
- Knowledge of principles and processes involved in business and organizational planning, coordination, and execution.
- Knowledge of computer software including applications
- Ability to plan, organize work, and meet deadlines.

Qualifications:
As a condition of pre-employment eligibility, a Level 2 security background screening is required, which consists of fingerprinting and a check of local, state, and national law enforcement records.
Minimum:
- Duties and responsibilities of this position must be performed at the official work site of the Department.
- Travel may be required.
Preferred:
Experience working in MFMP, STMS, P-Card/Works, and People First.
Pay:
$50,000 - $60,000 Annually.
