Your Specific Responsibilities:
In accordance with Chapter 447.203(5), the incumbent of this position assists the Deputy Secretary of Workforce Services-FloridaCommerce and serves as a personal assistant in a confidential capacity by performing duties relative to personnel, purchasing, budget and fiscal matters. Frequently performs special assignments of a highly confidential nature.
This position provides high-level administrative support, handling information requests, assisting constituents, and performing administrative and clerical functions for the Division of Workforce Services. The position requires knowledge of the Department’s mission, goals, and objectives in order to effectively assist the Deputy and Assistant Deputy Secretary of Workforce Services with the day-to-day operation of the Department. The incumbent serves as the Deputy and Assistant Deputy Secretary’s personal liaison with FloridaCommerce managerial personnel, Governor’s Office staff, and other state and federal agencies. The incumbent assists in responding to inquiries from officials of the Florida Legislature. As required, the incumbent will obtain necessary information and prepare responses in proper format for the Deputy and Assistant Deputy Secretary’s signature.
The incumbent reviews and routes incoming correspondence for the Deputy and Assistant Deputy Secretary. This includes independently composing replies to routine correspondence for the Deputy and Assistant Deputy Secretary's signature. The incumbent independently decides what needs the immediate attention of the Deputy Secretary and ensures that other issues are handled by appropriate staff.
The incumbent is responsible for the Deputy and Assistant Deputy Secretary’s calendar and arranges appointments, meetings, and conferences. As required, prepares agendas, and ensures that other conference details are being properly handled. The incumbent is responsible for the Deputy and Assistant Deputy Secretary’s itineraries and makes necessary travel arrangements and hotel accommodations. Prepares vouchers and travel requests/reimbursements for the Deputy and Assistant Secretary. Reviews travel requests for all workforce staff for submission to the Chief Operating Officer for approval.
Reviews and edits as necessary all documents for the Deputy and Assistant Deputy Secretary’s review before routing to the Chief Operating Officer/Chief of Staff/Secretary for review/approval/signature. Advises and assists workforce admin staff with routing, signature, and other related processes to the Deputy and Assistant Deputy Secretary of Workforce Services and the Secretary’s Office. Organizes and maintains files for the Deputy and Assistant Deputy Secretary. Provides specialized or technical services to the Deputy Secretary in official meetings, public functions, and public relations matters.
ADDITIONAL DUTIES:
• COM Florida Emergency Information Line (FEIL) COORDINATOR – Act as FEIL Coordinator for FloridaCommerce during state activations which consists of maintaining a team of 30+ operators to assist the Division of Emergency Management to staff the call center. Year-round duties include recruiting, training, and staffing to be prepared for state activations at any given moment.
• Assist with Reemployment Assistance and Workforce customer related inquiries. Advise and direct to agency representative in a timely manner to resolve customer issue(s).
Qualifications:
As a condition of pre-employment eligibility, a Level 2 security background screening is required, which consists of fingerprinting and a check of local, state, and national law enforcement records.
Pay:
$51,320.27 - $78,750.00 Annually.
