Your Specific Responsibilities:
- Organize and maintain accurate records of contracts reviews and related documents.
- Manage both physical and electronic filing systems, ensuring documents are properly categorized and easily accessible.
- Implement efficient file organization practices to enhance document retrieval and security.
- Assist in preparing and formatting documents to maintain consistency and professionalism.
- Support the development and drafting of scopes of work for contracts.
- Collaborate with the Community Project and Grants Administration Supervisor to ensure clarity, feasibility, and alignment with organizational goals.
- Help identify and rectify ambiguities or inconsistencies within scope documents.
- Contribute ideas to enhance the effectiveness and impact of project scopes.
- Monitor contract expiration dates and maintain a tracking system to alert relevant parties in advance.
- Coordinate the contract renewal process, including notifying impacted Programs and assisting in the preparation of documentation and facilitating approvals.
- Communicate with stakeholders to ensure timely action on renewals and prevent any lapses in agreements.
- Maintain an up-to-date contract database with all relevant details.
- Participate in Oversight Team meetings and discussions.
- Provide administrative support to the teams.
- Contribute insights and feedback to support project monitoring and compliance efforts.
- Aid in verifying that agreements adhere to relevant laws, regulations, and departmental guidelines.
- Identifying potential risks or compliance issues and report them to senior staff.
- Ensure all documents meet high-quality standards in language, formatting, and consistency.
- Support the maintenance of compliance records and reporting requirements.
- Provide support to Department contract managers by offering technical assistance under supervision.
- Help resolve basic contract issues.
- Maintain and update electronic document repositories and databases.
- Work closely with contract managers to gather necessary information and support contract development needs.
- Assist in defining performance metrics, milestones, and measurable outcomes within scopes of work, as needed.
- Participate in team meetings, offering constructive feedback and suggestions for improvement.
- Assist management with additional tasks related to contract administration as needed.
- Continuously seek opportunities to improve processes and enhance team efficiency.
- Demonstrate flexibility and adaptability in taking on new responsibilities and challenges.
Required Knowledge, Skills, and Abilities:
- Ability to manage filing systems and organize documents.
- Strong written and verbal communication skills, with the ability to convey information clearly and professionally.
- Keen eye for detail, ensuring accuracy in documentation and tracking.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with document management systems.
- Ability to track deadlines, manage multiple tasks simultaneously, and prioritize effectively.
- Ability to work collaboratively in a team environment and contribute positively to team objectives.
Preferred:
- Three years of experience in scope development and/or grant management.
- Florida Certified Contract Manager Certification.
Pay: $21 - 25/hour
