Job Description

 

This position is a professional accounting position that is in the Division of Vocational Rehabilitation’s (DVR) Financial Payments Section that is administratively assigned to the Bureau of the Comptroller. This position is responsible for the auditing and reviewing documentation for payment of travel reimbursements and travel advances for employees in the Division of Vocational Rehabilitation. All duties of this position must be performed in compliance with the mandatory requirements of Section 215.422, Florida Statutes, Chapter 3A-20, Florida Administrative Code.

 

Specific Responsibilities

 

Travel Training

•              Provide training to DVR employees statewide

•              Prepares PowerPoint and training packages

•              Conveys Florida Statues, Administrative Codes, Comptroller and Department rules and regulations as it related to travel

¨ AUDITING OF TRAVEL VOUCHERS:              

               ¨auditing each travel voucher for correct accounting information

               ¨auditing each travel voucher for correct receipts and acceptable Comptroller regulations

               ¨reviewing the voucher summaries daily before the actual Comptroller Voucher is received

               ¨keeping a log of the current statues of all outstanding travel vouchers including a descriptive explanation of why the  

                  voucher was rejected by the State Comptroller's Office

               ¨processes advances, settlements and all ADA requests for travel associates and providing ADA support as liaison

               ¨inputting information into the FLAIR system

               ¨completes payment packages for the state comptoller's office, file and remittance

         ¨Maintain a pending file and a permanent file for all travel vouchers outstanding and complete which includes:

               ¨Filing vouchers numerically or alphabetically.

               ¨Accessing pending vouchers for backup for each warrant mailed.

               ¨Maintaining a permanent file for audits performed by outside auditing entities.

         ¨Cross trained to provide backup for Accountant III, Contract Payments.

         ¨Enters individual's travel voucher into a computerized ledger sheet to provide a permanent tracking system.

            and to setup a data base for budget and controll accounting reports.

         ¨Trains DVR associates on current travel policies and informs them of updates that the state Comptroller has initiated.

         ¨Prepares travel related memorandums for approval process.

         ¨Prepares a monthly analysis of the numeric number of vouchers received and the error compliance report.

         ¨Researches and responds to any travel related questions from associates statewide.

         ¨Processes warrant cancellations, warrant re-issues and refunds of overpayments.

         ¨Keeps current airline/rental car contracts information and support traveling associates in these issues.

         ¨Assists the DVR Financial Services Unit with other accounting related duties as assigned.

         ¨ Additional contractual payments added to this position due to the division recently receiving an additional federal grant award. The federal requirements to increase accounting processes and oversight for the Art to Competitive Integrated Employment (ArtCIE). Subminimum wage to competitive integrated employment (SWTICE) Initiative Model Demonstration Project (84.421D).

BACKGROUND SCREENING REQUIREMENT
