The Work You Will Do:

The Administrative Assistant I position assists with in providing analysis, research, and support on a variety of administrative and clerical matters for the Resilient Florida Program.

 

The Difference You Will Make:

The Resilient Florida Program was established during the 2021 Legislative Session with the passage of SB1954/HB7019 and the creation of section 380.093, Florida Statutes. This legislation will ensure that communities have the resources they need for resilience planning and project implementation as well as creating a framework for a cohesive, coordinated approach to address the impacts of sea level rise, effects of intensified storms and localized flooding.

 

The program administers the Resilient Florida Grant Program, complete a comprehensive statewide flood vulnerability and sea level rise data set and assessment, develop annual Resilience Plans consisting of prioritized projects for funding consideration, support Regional Resilience Entities and collaborate with the Florida Flood Hub of Applied Research and Innovation.  The program includes sections devoted to planning, grant and budget management, technical support, and data management.

Your Specific Responsibilities:

  • In carrying out the duties of this position, the incumbent is expected at all times to be aware of and abide by the Department’s Standards of Conduct, as well as any and all departmental and/or work unit rules, directives, policies, procedures, and/or general orders applicable to performing the duties of this position. Incumbent is also expected to actively support and work toward fulfilling the Agency’s Affirmative Action objectives.
  • Independently assists with in providing analysis, research, and support on a variety of administrative and clerical matters for the program.  Create, organize and maintain complex files, sets up new files, ensures accuracy of filing data.  Maintains information for program management files and policies.  Assists staff and the public in researching and retrieving files and data.  Arranges for storage and retrieval of files from state storage facilities if needed. 
  • Coordinates all program monthly reports, budget, travel, purchases including all purchasing card approvals ensuring that required documents are properly completed and submitted to Finance and Accounting in a timely manner.  Follows up on further actions that may be required. Identifies and manages program inventory of properties. 
  • Prepares travel approvals, travel reservations, registrations, and reimbursements for RF staff.  Assists the Program Director in collecting travel and training requests for the Program Employee Development Program.  
  • Organizes and schedules staff meetings, agendas, and staff activities 
  • Provides routine assistance to supervisor and management staff that includes setting up meetings, copying, typing, or compiling a variety of technical documents, reviewing forms/draft documents, and mailing.  Proofreads, correcting grammer, spelling and punctuation as necessary.
  • Inserts program documents into Oculus as needed.
  • Manages and maintains the Program vehicles, assist the team in reserving vehicles, tracking vehicle logs, ensures vehicles are maintained and kept clean and available for staff.. 
  • Performs other duties as required.

  • Ability to collect, evaluate and analyze date relative to administrative functions.
  • Knowledge of Oculus.
  • Ability to review data for accuracy and completeness.
  • Knowledge of procedures for handling State Travel Authorizations and Reimbursement.
  • Knowledge of the Florida Purchasing Card Program.
  • Knowledge of Vehicle Reservation System

 

Minimum Qualifications:

  • An associate degree from an accredited college or university or any combination of post-secondary education or verifiable related experience, as described above, for a total of two years.
  • A valid driver license.
