The Difference You Will Make: The Office of Citizen Services is dedicated to the Attorney General's vow to protect the citizens of Florida from fraud, and serves as the agency's point-of-contact for complaints and inquiries; provides the public with information on the Attorney General's duties, responsibilities and initiatives; provides reliable information on consumer scams, emerging issues, and resources; and provides meaningful help to consumers toward resolving complaints through referrals and informal mediation when appropriate. During declared states of emergency, we also operate the OAG’s Price-Gouging Hotline.

 

The Work You Will Do: This position requires answering live switchboard calls, which receives an average of 150 calls daily. Monitoring and retrieving voicemail messages, accurately documenting the complaint data, escalating consumer complaints to 40+ corporate contacts, providing consumers with a copy of responses received from corporate contacts. Assist management with the compilation of record requests, and other correspondence auditing projects as requested.

Scan all incoming physical Correspondence into OnBase and ensure Correspondence received electronically in OnBase is entered into Lotus Notes accurately and promptly. Assist management and additional duties as requested by supervisor.

Additionally, this position serves as a backup to the Clerk supervisor, including but not limited to coordinating daily schedules for the senior clerks, ensuring everyone is staying on task, monitoring production of senior clerks in the Clerk Supervisor’s absence. While updating Clerk Supervisor or Unit Supervisor during the Clerk Supervisor’s absence.

 

Business hours are Monday – Friday, 8:00am - 5:00pm. Regular attendance and punctuality is required.

 

Duties include but are not limited to:

  • Write accurate concise summaries of verbal and written complaints, inquiries, information requests, and other correspondence.
  • Monitor company’s responses, forwarding the response to the consumer and appropriate CP Staff for monitoring.
  • Maintain understanding of OAG complaint process to effectively find and share data. 
  • Handle Citizen Help requests as assigned, resend request and other issues as appropriate based on skill set.
  • Assists with training new analysts and clerks.
  • Proof data entry and voicemails entered.
  • Assists other analysts and clerks with call related questions and with escalated or more advanced calls.
  • Scanning mail received daily and ensures the Pink Labels are sent interoffice to the correct Unit for handling.

 

How You Will Grow: Citizen Services is on the forefront of consumer issues and works closely with the Consumer Protection Division to collect and identify patterns of consumer complaints that may lead to investigation or action by the agency. In this role you will gain exposure to a broad range of topics including consumer issues, Lemon Law, Medicaid Fraud, identify theft, and more. This experience is valuable for promotion into other OAG Positions.

 

Minimum Qualifications: In order to qualify for the position, candidates MUST possess:

  • Four (4) years of secretarial or administrative work experience Or
  • A high school diploma or its equivalent and two (2) years of secretarial or administrative work experience; or
  • A bachelor's degree; or
  • If no bachelor’s degree: College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for up to two (2) years of the required work experience; or
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for up to two (2) years of the required work experience.

 

 

Applicants who meet the minimum qualifications will be invited to complete a skills assessment. Those who meet a passing score of 75% on the skills test will be invited to advance to interview.

 

Preferred Qualifications:

  • Excellent verbal and written communication skills
  • Skill using a computer, word processing and data entry software.
  • Typing minimum 35 words per minute (WPM)
  • Experience in a call center or customer service environment, customer resolution, consumer complaints, or citizen advocacy.
  • Experience conducting fact-finding research, analyzing and/or summarizing information.
  • Work independently with minimal instruction, or direction
  • Ability to maintain effective working relationship with others
  • Ability to communicate effectively internally and externally
  • Ability to read, comprehend and analyze non-complex complaints
  • Ability to understand and follow instructions
  • Ability to retain information and apply in compare/contrast situations
  • Ability to prioritize to ensure daily tasks are completed in timely manner
  • Knowledge working in Microsoft Word, Excel, and Adobe
