Administrative Assistant I

 

Job description: 

General and specialized clerical and administrative duties including

communications, data processing, file management, assistance to staff.

Support Chief of Licensing

 

 

Specific job tasks:

 

  • Support Chief of Licensing and Licensing Staff by performing administrative tasks and duties as requested.

 

  • Demonstrate proficiency in computer programs and databases (e.g., MFMP, Outlook, MS Office, MS TEAMS, Salesforce, Works) in order to complete assigned tasks.

 

  • Greet providers and the public by phone, email and in person.  Direct them appropriately, handle routine requests and provide general information.

 

  • Date stamp incoming mail and other documents.  Distribute to appropriate staff. 

 

  • Re-direct any renewal or admin fine payments to Program Office for processing

 

  • Check voice mail throughout the day and take messages.  Distribute to appropriate staff.

 

  • Check email throughout the day and respond appropriately.  Forward as needed.
  • Complete and maintain trackers received from Headquarters when needed.  

 

  • Prepare travel vouchers timely.

 

  • Inventory office supplies monthly.  Request or prepare requisitions in MFMP for approval.

 

  • Assist in administrative actions, organize legal files and maintain documents for court actions.

 

  • Assist with public events, mailouts, trainings and provider meetings.

 

  • Follow all DCF policies, particularly in data security, confidentiality of protected information, and access to background screening documents.
