Within DCF, the Office of Quality and Innovation (OQI) leads agency-wide efforts to strengthen performance, streamline processes, and foster a culture of continuous improvement. The Administrative Assistant I plays a critical role in ensuring smooth daily operations by providing administrative, human resources, purchasing, and communication support to OQI leadership and staff.


What You Will Do

The Administrative Assistant I provides high-quality, proactive administrative support to the Office of Quality and Innovation. This position supports multiple team including Quality Review, Process Improvement, Strategic Planning, Training, and Data Analytics, while maintaining alignment with agency standards, policies, and timelines.

Key Responsibilities:

  • Provide comprehensive administrative support by managing phone calls, scheduling meetings, maintaining calendars, preparing correspondence, and coordinating office logistics.
  • Maintain accurate records, files, and inventories, ensuring supplies and equipment are tracked, ordered, and distributed efficiently.
  • Prepare and submit purchasing requisitions in accordance with department procedures and ensure supply inventories are accurate and up to date.
  • Assist with travel coordination by preparing and submitting travel authorizations, WORKS transactions, and STMS reimbursements within required timeframes.
  • Support human resources processes by assisting with applicant and new hire communication, maintaining personnel documentation, and coordinating onboarding activities in collaboration with the HR liaison.
  • Assist in meeting and event coordination, including scheduling, agenda preparation, material distribution, and logistics support.
  • Track and update project deliverables and timelines using spreadsheets, SharePoint, or Smartsheet to ensure tasks are completed accurately and on time.
  • Prepare, proofread, and distribute internal communications, reports, and presentation materials that reflect DCF’s professional standards.
  • Collaborate with OQI’s Administrative Assistant II and other administrative team members to ensure consistency, efficiency, and coverage across the office.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree in business administration, communications, or a related field preferred.
  • Minimum of two (2) years of administrative or office support experience; public-sector experience preferred.
  • Minimum of two (2) years of experience processing travel reimbursements (STMS) or WORKS card transactions and preparing purchasing requisitions or supply orders; public-sector experience preferred.
  • Demonstrated proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint) and SharePoint; familiarity with Smartsheet, STMS, and WORKS preferred.
  • Strong written and verbal communication skills with attention to accuracy and professionalism.
  • Proven ability to organize, prioritize, and manage multiple tasks under time-sensitive deadlines.
  • Detail-oriented with a commitment to accuracy, compliance, and confidentiality.
  • Ability to work both independently and collaboratively within a team environment.
  • Demonstrated alignment with DCF’s values of service, accountability, integrity, and innovation.
