Starting Salary:  $1,356.00 Bi-Weekly (In accordance with current spending restrictions, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate, whichever is greater).

 

DUTIES AND RESPONSIBILITES:

Provides administrative support to Facility Services Manager and Facility Services Unit. Identifies operational concerns hindering office objectives and outlines procedures to be followed.  Supports supervisor in the implementation of procedures and production planning.  Formulates recommendations to solve problems and prepares reports with supporting management and project managers as needed. Serves as human resource liaison for the section. Maintains the Leave calendar and distributes delegation letters when needed; receives and distributes mail to appropriate staff within Facility Services. Process all new hire necessary paperwork for P-Card, Works, User Profile information, Network User Account and Day 1 Onboarding. Serves as back up to the Purchasing Specialist with creating and submitting Information Resource Request (IRR), Invoices, Purchase Requisitions and Travel submission for approval and Travel Reimbursements. Participates in the development of design and construction facility standards for detention and residential facilities.  Performs special assignments, conducts research and prepare reports.  Drafts, prepares and/or implements decision making documents.  Assists with energy tracking and providing the annual report to the Department of Management Services. Ensures monthly emails are sent to Konica regarding usage readings and order Konica supplies as needed. Keeps track and order office supplies. Serves as the Facility Services Safety Coordinator.

Performs other related duties as assigned.

 

MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL    KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of the methods of data collection and analysis.  Knowledge of basic management principles and practices.  Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document work flow and other activities relating to the improvement of management practices. Ability to organize data into logical format for presentation in reports, documents and other written materials.  Ability to conduct fact finding research.  Ability to utilize problem solving techniques. Ability to understand and apply applicable rules, regulations, policies and procedures relating to management analysis practices. Ability to plan, organize and coordinate work assignments.  Ability to communicate effectively. Ability to establish and maintain effective working relationships with others. Ability to use Microsoft Word, Excel, Power Point, and Outlook.  Knowledge of office equipment, fax machines and copiers.  Knowledge of My Florida Market Place and Florida Accounting and Information Resource (FLAIR)
