The Office of General Counsel has a vacancy for an Administrative Assistant I.

 

LOCATION, CONTACT AND SALARY INFORMATION:

Starting Salary: $1,396.68 Biweekly. (In accordance with current restrictions, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee's current rate, whichever is higher.)

DUTIES AND RESPONSIBILITIES:

 

Serves as the Administrative Assistant to the Senior Attorney for Labor and Employment, and the Senior Attorney for Contracts and Procurement.

 

Drafts correspondence, and other documents under the supervision of an attorney.

 

Assists attorneys with legal research, scan, copy, and email documents as instructed by assigned attorneys.

 

Make all travel arrangements and monitor calendars for assigned attorneys. Prepares post travel documents necessary for reimbursement using the Statewide Travel Management System (STMS).

 

Assists with incoming calls and routes telephone inquiries as necessary. Screening incoming calls are at the discretion of the attorneys. Takes legible, accurate and complete messages including name, date, time of call, reason for call, telephone number and email address.

 

Assist with incoming mail (opening, date stamping, distributing, redirecting as necessary).

 

Assist as needed with the Purchase of office supplies/equipment for Headquarters and Regional Offices. All supply orders should have the approval of the Office Manager or General Counsel, prior to placing the order. Assist as needed with maintaining inventory. Assist with ensuring office equipment is always operating properly, such as the main copier/printer.

 

Assists with requisitions and vendor payments via My Florida Market Place (MFMP).

 

Performs other related duties as assigned.

 

MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:

 

  1. High School Diploma
  2. Use of Office equipment, proficient in Microsoft Office Products (Word, Excel, PowerPoint)
  3. Knowledge of administrative principals, practices and office procedures.
  4. Preferred, but not required experience with My Florida Market Place (MFMP), and Statewide Travel Management System (STMS).
  5. Ability to prepare correspondence, as instructed by assigned attorneys.
  6. Ability to plan, organize and prioritize work assignments.
  7. Ability to establish and maintain effective working relationships with others.
  8. Ability to communicate effectively both verbally and in writing.
