MINIMUM REQUIREMENTS:

A bachelor's degree from an accredited college or university and two (2) years of administrative experience.

A master's degree from an accredited college or university can substitute for one (1) year of the required experience.

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements.

NOTES:

This is a part-time, 30 hours per week position. Working hours are from 11:00am – 5:00pm, Monday-Friday.

JOB DUTIES:

Provides administrative support to the department's Procurement and Contract Administration section, which includes reviewing contracts for compliance with established policies and procedures for quality assurance and quality control. Prepares and scans contract files into the Administrative Image Management System (AIMS) and for publication on the department’s transparency website. Maintains and ensures that contract files and records are correct, complete and are appropriately redacted prior to scanning. Maintains active and inactive contract files in accordance with records retention requirements.

Provides assistance to the Procurement and Contract Administrator and the Assistant Contract Administrator as necessary, which includes filing routine correspondence and preparing and maintaining various contracts.

Assists the Bureau of General Services and the Division of Administration in conducting administrative activities and/or directing special projects, assignments or activities, which includes, but is not limited to, supporting the annual department Safety Fair and/or other projects as assigned.

Performs other related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge and skills to include word processing, spreadsheets, databases and graphics.
  • Ability to operate general office equipment
