Brief Description of Duties and Responsibilities:

The primary duty of this position is to serve as an office assistant for OIR’s Information Technology unit by providing daily assistance to the Director and unit Supervisors.  These duties include, but are not limited to:  

  • Conduct daily administrative support for the Director and supervisors. 
  • Serve as primary on the unit’s phone lines; track and route calls as appropriate.
  • Maintain, manage, and coordinate calendars for unit staff
  • Schedule appointments and meetings, conference calls, and conference rooms as needed
  • Prepare, review, assign, and process all correspondence for the unit, and provide instructional information as appropriate; prepare responses to a wide variety of correspondence that require independent decisions and investigation.  
  • Assists with personnel tasks by preparing hiring packages, onboarding, and separation of unit staff
  • Coordinate and track training for all unit staff.
  • Make travel arrangements as necessary and process travel and expense reimbursements for the unit through the STMS system.
  • Research and assist with purchases for equipment, technology, and other needs for OIR
  • Identify and recommend opportunities to improve processes, enhancing unit operations and efficiency.

Serve as the unit gatekeeper by assigning data collection company filings to staff in Information Technology and other business units.

  • Independently research and prepare complex reports for meetings with OIR staff as directed.
  • Analyze and compile information provided by others
  • Examine insurance company filings for consistency and legal compliance
  • Process assigned filings and validate according to established standards and procedures
  • Corresponds with staff and company filers to ensure accuracy and legal compliance

Performs other duties as required by the position.

 

Minimum Qualifications for this position include the following: REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of administrative principles and practices
  • Knowledge of office procedures and practices
  • Knowledge of the methods of data collection
  • Knowledge of computers and experience with Microsoft Word, Outlook, and Excel.
  • Ability to collect, evaluate, and analyze data
  • Ability to understand and apply applicable rules, regulations, policies, and procedures.
  • Ability to plan, organize, and coordinate work assignments.
  • Ability to work independently
  • Ability to plan, organize, and coordinate work assignments;
  • Ability to deal with the public tactfully and courteously.
  • Ability to draft correspondence and other documents. 
  • Ability to use correct spelling, punctuation, and grammar
  • Ability to communicate professionally and effectively, both verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.

The annual salary for this position is $41,000.
Employees of the Office of Insurance Regulation are paid on a monthly pay cycle.
This is a non-remote on-site position located in Tallahassee, FL.
