Duties and Responsibilities |
This position serves as part of the Admin Support team in the Division of Administration which includes support for the Bureaus of General Services and Finance and Accounting. In specific, works closely with the Design and Construction Section (DCS).
Coordinates the selection process for architectural, engineering, and Construction Management at Risk services. The scope of work includes placement of advertisements; maintains proposal information, communicates with vendors and evaluation team; records and maintains evaluation team documents; Maintains record files of the selection process.
Maintains the as-built drawing file library, the DCS forms library, and the DCS SharePoint site. Serves as the records custodian for DCS. Works with scanning services to digitize paper records as needed. Provides notary services.(this is implied).
Coordinates weekly Division of Administration conference call notes and agenda, updates email distribution lists and sends calendar invitations.
Serves in the PCard Accountant role for charges made by AAII (64031646). Serves as property delegate for F&A and Director’s Office.
Reserves conference rooms. Routinely assists Admin Support Team with other special projects as needed. Provides out of office coverage for purchasing, phones, mail, and other Admin Support Team duties.
Serves as travel champion and assists DCS staff with the Statewide Travel Management System.
Assists DCS Administrator with review and approval of purchase requisitions for construction in the My Florida Market Place/Ariba on Demand system.
Assists the DCS Budget Manager with DocuSign, communication with vendors as needed, and maintaining information uploaded into FACTS. |
Required Knowledge, Skills, and Abilities:
Knowledge of various computer software programs (i.e., Microsoft Word, Excel, etc.) Ability to follow verbal and written instructions. Ability to communicate effectively verbally and written. Ability to prioritize and maximize time. Ability to work well with others.
Qualifications:
Minimum - Proficiency with Microsoft Office, ability to communicate effectively both verbally and in writing, dependability and teamwork.
Preferred – TEAMS and State of Florida Purchasing and travel processes.
