OVERLAP POSITION FOR TRAINING PURPOSES

 

Assists the Administrative Assistant III by initiating, planning, and completing administrative activities within the Division of Administration for bureaus Finance and Accounting and General Services, as well as the division director’s office including, but not limited to:

 

Preparing purchase requisitions, receiving reports and other purchasing related activities for the Division office, bureaus Finance and Accounting and General Services in accordance with departmental regulations on MyFlorida Marketplace.  Maintaining files on all purchasing related documents.  Coordinating Cardinal Pre-pay payments. Maintaining a state purchasing card for purchases for the division.  Responsible for reviewing and reconciling purchases, attending training, and maintaining security of the card.  Understanding personal or unauthorized use of the card will result in disciplinary action and restitution to the department.

 

Responsible for processing requests for revolving fund checks within 24 hours.  Maintain check register on L drive and assist in reconcilation process.

 

Assists in tracking F&A’s assets and that the annual physical inventory is conducted and reconciled within the established timeframes. Provides the bureau chief a listing of all missing property.

 

Assists with personnel records on Finance and Accouting and General Services staff per departmental regulations.  Reviewing all required documentation for personnel changes and assist with the recruitment process from advertisement to hire date.

 

Serves as Travel Champion for Finance and Accounting and General Services.  Prepares reimbursement vouchers according to state and departmental policy.  Assists with travel arrangements, including reservations, accommodations and car rentals for Division Office, as well as bureaus Finance and Accounting and General Services.  Coordinates administrative duties; acts as liaison for General Services.

 

Assist in ensuring functional directories and tracking documents are up to date when there are any staff changes. Maintain filing systems to ensure files are logically organized, uncomplicated, and can be used by other staff.

 

Assist with the successful completion of assignments.  Ensures that assignments and mandated reports are assigned and tracked to ensure timely completion.  Arranges for necessary extensions of due dates with the appropriate office.  Assist in maintaining the appointment calendars, scheduling meetings and conference calls, inviting appropriate staff, arranging meeting space, drafting tentative agendas and providing required materials as necessary.

 

Qualifications:

Minimum - Proficiency with Microsoft Office, ability to communicate effectively both verbally and in writing, dependability and teamwork.
