Your Specific Responsibilities:

This position is responsible for handling the duties of the Administrative Unit of the Board of Medicine as directed by the Executive Director and Program Operations Administrator. 

The incumbent will perform the following duties and responsibilities:

  • Assist the Executive Director in tracking and accountability of letters, memos, emails and other documents from the general medical community, applicants, and licensees regarding statutes, rules and policies.  Maintain correspondence, reports and other documents for the Executive Director to ensure deadlines are met.  
  • Schedule and cancel meetings and other appointments for the Executive Director.
  • Assist the Program Operations Administrator in tracking and summarizing of the five most mis-diagnosed conditions related to standard of care violations of Section 458.331(1)(t), Florida Statutes.
  • Assist the Program Operations Administrator in preparing minutes for all probable cause panel meetings (public portions only) held throughout each calendar year.
  • Maintain the Board Contact Sheet, the Business Continuity and Disaster Preparedness Plan (COOP), and the Emergency Evacuation Roll Call Sheet for the Board of Medicine.
  • Order and distribute supplies to the Board of Medicine staff per established procedures and policies. This includes, but is not limited to, coordination of paperwork and timely payment and Level 2 Purchasing Card approvals for Board office to meet required deadlines.
  • Work with the Bureau of Operations, System Support Services, co-workers within the Board of Medicine, and other partners in DOH, to ensure office equipment is maintained appropriately or processed as surplus. 
  • Prepare and research affidavits for non-receipt of Administrative Complaints for the Board of Medicine.
  • Process and maintain logs of all self-reports/notifications received into the Board of Medicine from licensees and/or representatives as appropriate.
  • Perform other related work as required to maintain an efficient office which responds promptly to the needs of licensees, applicants, the legislature, other areas of the Department and to the public.

 

Required Knowledge, Skills, and Abilities:

  • Knowledge of Microsoft Office software
  • Knowledge of WORKS, FLAIR and MFMP
  • Skills in time management and handling multiple tasks
  • Skills in operating basic office equipment (copiers, printers, computers, etc.)
  • Ability to collect, compile, and organize files and records
  • Ability to work under pressure
  • Ability to work independently
  • Ability to work with others

 

Qualifications:

Preference will be given to those who meet the following minimum requirements:

  • High School Diploma or equivalent AND 2 years administrative experience that includes data entry, document preparation, computer software use, travel arrangement preparation, and/or personnel and budget review.
  • College education can substitute for the required experience on a year-for-year basis.
