Position Summary

This is an administrative position assisting the Assistant Director of Operations and Programs at the State Office. The employee provides administrative support, researches and gathers data, prepares draft reports and correspondence, recommends and implements operational administrative systems, and works collaboratively with staff.

 

The Work You Will Do 

General Administrative Support

  • Handles incoming calls and emails, directs calls to appropriate staff, or takes messages, providing a model for excellent customer service.

 

  • Prepares, proofreads, and submits Systems Access Request Forms (SARF) for system access.

 

  • Assists in onboarding new staff members, i.e., Human Resources-related tasks, equipment setup, completing paperwork, and other tasks as needed.

 

  • Communicates with vendors.

 

  • Provides administrative and operational support to the Assistant Director of Operations and Programs in the coordination and execution of human resources–related activities.

 

  • Assist with travel arrangements and prepare travel authorization and reimbursement documentation.

 

  • Accurately routes correspondence in a timely manner.

 

  • Observes administrative operations and makes recommendations for improvements in systems and routines.

 

  • Provides technical assistance to the Assistant Director and staff within the program.

 

  • Completes purchasing actions for the Assistant Director and other staff within the program.

 

Document and Data Management

  • Maintain various tracking systems for assignments, special projects, and reports.

 

  • Assists the Assistant Director in responding in an accurate and timely fashion to all assignments and deadlines.

 

  • Provides draft and approved routine reports, as assigned.

 

Calendar and Meeting Management

  • Coordinates staff meetings and 1:1 supervision meetings between the Assistant Director and staff.

 

  • Maintains calendar for the Assistant Director of Operations and Programs as well as Bureau Chiefs when needed.

 

  • Prepares materials for meetings. Maintains meeting agendas and meeting minutes as appropriate

 

Minimum Qualifications

 

  • High School diploma or equivalent

 

  • Required travel for work purposes as needed

 

Knowledge, Skills, And Abilities

 

Knowledge of:

 

  • Strong organizational skills.

 

  • Excellent verbal and written communication skills with a focus on customer service.

 

  • Microsoft suite software.

 

Ability to:

 

  • Multitask.

 

  • Work independently with limited supervision.

As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program.  Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

Background Screening Requirement
