Position Summary
This is an administrative position responsible for assisting the Regional Operations Manager in the operation of the Region. The employee provides direct administrative support, coordinates administrative support functions for the Region, and serves as the Human Resources Liaison and Random Moment Sampling Coordinator for the Region.
The Work You Will Do
Handles all incoming telephone calls to the Regional Operations Manager that are made to the general phone line and directs these calls or takes messages. Ensures adequate phone coverage in the regional office. Sets up schedule of rotating phone/receptionist duties among administrative staff at the regional office as needed.
Coordinates staff meetings and 1:1supervision meetings between the Regional Operations Manager and staff as requested.
Accurately routes correspondence in a timely manner.
Completes purchasing actions for office supplies as well as purchase orders for Local Review Chairpersons and Utilization Control Physician in the Regional Office using the My Florida Marketplace system.
Assists Regional Operations Manager in responding in an accurate and timely fashion to all assignments and deadlines. Maintains signature folder for Regional Operations Manager daily. Disburses signed documents to appropriate party upon signature.
Acts as Human Resources liaison for region, providing direction and assistance to staff related to personnel matters. Participates in Human Resources conference calls for recruitment and training as scheduled. Maintains leave calendar on Regional Share Drive.
Coordinates records storage for the Regional Office with Regional Records Manager. Coordinates destruction of records using records storage/destruction guidelines.
Maintains an accurate electronic document filing system.
Creates and maintains spreadsheets or other automated data collection systems to track performance regarding deadlines, workload and other administrative activity. Maintains an assignment tracker for staff assignments by Regional Operations Manager.
Observes administrative operations and makes recommendations to the Regional Operations Manager for improvements in systems and routines.
Provides initial draft correspondence as requested by Regional Operations Manager. Provides draft and approved routine reports as assigned by Regional Operations Manager.
Prepares materials for meetings that the Regional Operations Manager is scheduled to attend.
Assists with travel arrangements for designated staff within the Region.
Provides training and technical assistance to staff regarding use of automated office equipment and administrative systems.
Acts as lead worker in support of other administrative staff and makes recommendations to the Regional Operations Manager for improvements in systems and routines.
Minimum Qualifications
- Must have High School Diploma or its equivalent.
- Must have experience in managing administrative tasks.
- Must possess technology skills, to use various software and tools, such as Microsoft Office, spreadsheets, databases, and email.
- Musth have customer service experience.

Background Screening Requirement
