MINIMUM REQUIREMENTS:

 

A bachelor's degree from an accredited college or university and three (3) years of administrative experience. 

 

A master's degree from an accredited college or university can substitute for one year of the required experience. 

 

Administrative or clerical experience can substitute on a year-for-year basis for the required college education. 

 

An equivalent combination of education and experience which equals five (7) years can substitute for the above requirements.

Successful applicant must pass a background screening, including fingerprinting, as a condition of employment.

 

JOB DUTIES:

 

Coordinates employee fingerprinting appointment scheduling as part of the recruitment and selection process. Works closely with Division of Licensing Offices and applicants to ensure that the process is completed efficiently.

 

Sets up personnel files for all incoming employees, ensuring all required documents are in the files. Scans and submits onboarding documentation to Personnel.

 

Ensures that employee badges are delivered and acknowledged. Troubleshoots when issues arise related to employee badge access. Oversees the Quarterly Sonitrol User Access Audit Report ensuring that employees have the appropriate security access.

 

Completes classification actions required to ensure that correct headquarters/addresses are reported for all employees.

 

Ensures that up to date organization charts are kept on file and made available to supervisors/managers/bureau chiefs. Oversees the division position description library to ensure that most up to date position descriptions are available to the division staff. Submits required classification forms to update headquarters for all field positions as needed.

 

Records workers compensation hours in individual worker’s compensation file.

 

Helps Personnel Liaison plan and conduct quarterly supervisor trainings including agenda, supplies and communication. Attends job fair along with Personnel Liaison as needed.

 

Completes employee separation reports including obtaining required signatures, ensuring final timesheet is completed and submitted, and submitting report to Administration.

 

Performs other related duties as may be assigned.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Skilled in the use of various computer software programs such as, but not limited to, Word, Excel, Microsoft Teams, Outlook and PowerPoint. 
  • Ability to communicate effectively orally and in writing.
  • Excellent time management and ability to work with minimal supervision as well as collaboratively with a team.
