Administrative Assistant III Duties:
This position serves as administrative staff member in the Office of Agricultural Law Enforcement (OALE).
COMMAND STAFF LIAISON: This position conducts highly independent and highly detailed administrative support work at the direction of the assistant division director. Liaises with all command staff administrative personnel to ensure accurate and detailed reporting of areas of responsibility under command including reporting of hiring, external operations, resource management, vehicle procurement and outfitting, and other areas of responsibility. Receives myriad reports and periodic updates from all functional areas to combine and categorize information for reporting to senior department leadership. Responsible for preparing all division weekly, monthly, and other assigned reports for senior level staff. Tracks deadlines for reporting and works with command staff and their administrative support to ensure timely submission of required reporting.
ADMINISTRATIVE DUTIES: This position assists the Assistant Director with calendar management, appointment setting and meeting coordination. Liaises with other agencies and state partners on behalf of the assistant director, when necessary, in preparation of agendas or provision of executive summaries. Makes arrangements for meetings/conferences including space, time and location, informs participants of topics to be discussed and researches and provides background information. Schedules travel itinerary and makes travel reservations for the Assistant Director.
SHAREPOINT: Maintains multiple reports on the OALE’s internal Sharepoint site tracking progress of OALE’s implementation of all facets of organizational change including establishment of the new station 20 and associated inspection pads. Utilizes tools such as Microsoft Power BI to graph statistical and other information for review by command staff and agency leadership.
OTHER ADMINISTRATIVE DUTIES: Provides assistance and/or completes other administrative or support tasks assigned by the chain of command. Administrative duties may include any functions or tasks supporting the administration, operations, or functions of the Director’s Office at the direction of the assistant division director. Attends meetings and travels as required. Operates and/or utilizes a variety of business and office equipment and machines including computers, photocopying equipment, scanners, calculators, etc.

Minimum Qualifications:
- A bachelor's degree from an accredited college or university and three (3) years of administrative or office support experience.
- A master's degree from an accredited college or university can substitute for one year of the required experience.
- Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
- An equivalent combination of college education and experience which equals (7) years can substitute for the above requirements.
- Requires possession of a valid driver license.
Preference will be given to individuals that possess:
- Analytical data experience.
Selection Process - The OALE selection process takes approximately three to four months to complete. Steps to complete the selection process include, but are not limited to:
- A completed State of Florida Employment Application.
- A completed Office of Agricultural Law Enforcement Civilian Supplemental Application.
- Oral Review Board.
- Background Investigation.
