Additional requirement:

 

  • Four (4) years of experience in State Government in an administrative, clerical or office management role.

 

 

The salary range for this position is $55,000.00 -$65,000.00 annually. 

 

 

Employees of the Department of Financial Services are paid on a monthly pay cycle.

 

 

This position requires a security background check, including fingerprint as a condition of employment.

Minimum Qualifications for this position include the following REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:

BRIEF DESCRIPTION OF DUTIES:

 

  • Manage and prioritize a high volume of inquiries, requests, and correspondence received by the office; exercise discretion and sound judgment in resolving issues, drafting responses, and elevating matters as appropriate.
  • Provide administrative support to the Chief of Staff (COS) and Deputy Chief of Staff (DCOS), including coordinating schedules, managing calendars, and preparing briefing materials.
  • Assist with STMS statewide travel management and PCard Works functions for Capitol staff and Regional Managers, including processing travel authorizations, ensuring policy compliance, monitoring approvals, and resolving system or billing issues.
  • Assist with executive meetings by dispatching invitations, preparing agendas and materials, setting up video conferencing, and liaising with IT to ensure meeting room and technology readiness.
  • Maintain and update operational documents, including phone directories, Continuity of Operations Plans (COOP), emergency response and preparedness documentation, and Capitol parking garage records.
  • Provide professional front-line representation of the executive office, delivering exceptional customer service with a polished, welcoming demeanor to visitors, callers, and partners.
  • Draft, edit, and format executive correspondence, reports, and presentations, ensuring accuracy, and consistency.
  • Utilize standard office equipment, multi-line phone systems, and Microsoft Office applications (Outlook, Word, Excel, PowerPoint) to support executive and administrative functions.
  • Support special projects, confidential assignments, and cross-functional efforts as directed by the CFO and COS.
  • Perform additional duties and responsibilities as assigned by the CFO and COS.
