This position performs advanced level administrative support work under the limited supervision of the Deputy Director of Early Learning, Division of Early Learning. Position provides high level administrative support to the Deputy Director, Programs and Policy Coordinator, and School Readiness Program Manager and unit staff.
- Coordinate and manage schedules, meetings, and administrative activities involving multiple stakeholders; prepares, reviews, and maintains correspondence, reports, briefings, and other official documents; performs document editing and conducts research to support operational and executive-level functions.
- Plan, coordinate, and secure travel arrangements and related administrative requirements, including the preparation and processing of travel documentation; maintains comprehensive records and tracking systems; and provides advanced administrative support for the efficient operation of daily office functions.
- Provide guidance, training, and technical assistance to staff; identifies training needs of staff.
- Participate in appropriate in-service training and professional development activities to enhance staff effectiveness and support the Department’s goals and objectives.
- Develop, prepare, and process annual contracts, leases, purchase orders, and related procurement documentation.
- Provide training and assistance to staff; participates in appropriate in-service training activities to promote professional development to meet the Department’s overall goals and objectives.
- Maintains the daily check log process by receiving, reviewing, scanning, and recording checks and money orders; preparing and reconciling deposits; uploading deposit logs and supporting documentation to SharePoint; and ensuring secure handling, tracking, and safeguarding of checks and money orders.
- Provide back-up administrative support to the Chancellor’s Executive Assistant during absences and as needed, ensuring continuity of executive-level administrative operations.
- Monitor office supply inventory levels; evaluate operational needs; and coordinate procurement of supplies and materials to support efficient office functions.
- Review, analyze, and process correspondence and administrative documents; conducts research and fact-finding as needed; and prepare appropriate responses and recommendations.
- Process and clear charges in WORKS for the Deputy Director of Programs & Policy and serve as backup support to ensure timely and accurate charge clearance for all Programs & Policy program managers.
- Provides guidance and administrative support to staff and program personnel regarding administrative processes, procedures, and general office operations.
- Maintains current records and information on departmental and division policies and procedures and the processes of routine matters.
- Performs other duties as assigned.

LEAVE INFORMATION: (CS)
- Annual Leave - All full-time Career Service employees filling established positions earn annual leave in varying increments dependent upon years of creditable service. Employees with up to 5 years of creditable service earn 8.667 hours per month, with 5 to 10 years earn 10.833 hours per month and those with over 10 years of service earn 13 hours per month. Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.
