Our Organization and Mission:

 

The Division of Service Operations manages the Bureau of Central Intake and Licensure, the one-stop shop for intake of applications and licensing.  The Division also oversees the Customer Contact Center, which handles all initial interaction conducted via telephone and e-mail. 

The Work You Will Do:

This position is responsible for providing high-level support to the Customer Contact Center (CCC) Bureau Chief.  The incumbent in this position handles administrative tasks and assignments that are highly technical and complex in nature.

Your Specific Responsibilities:

The incumbent in this position, in the course of carrying out his/her responsibilities, will have access to confidential information in the area of human resource related information. 

  • Coordinates the administrative support services, personnel activities, and other needs for the CCC.  Responsible for preparing all personnel actions for the bueau; including but not limited to work samples, hire packets, reference checks, personnel action request forms and all items related to new hires and separations
  • Serves as the People First Timekeeper for the CCC.  Ensures all timesheets are submitted and approved timely in People First to avoid overpayment and non-payment issues. Tracks CCC probationary evaluations and ensures they are completed timely
  • Performs special assignments, leads and coordinates special projects, prepares reports, and provides administrative support within the office as assigned by the CCC Bureau Chief
  • Responsible for maintaining an adequate collection of office supplies and central supply items.  Coordinates the purchasing of various items and supplies for the bureau staff.  Obtains necessary price quotes and enters requisitions in  MyFloridaMarketplace for processing.  Reviews and processes purchase orders, requisitions and invoices in accordance  with department policy and State of Florida Statutes.  Ensures accuracy of services billed against contractual agreements or other records, including the certification of goods received.
  • Maintains the CCC Emergency Contact List.  Establishes, organizes, updates and maintains filing systems for the office.

Minimum Requirements:

  • Must have at least two (2) years of administrative support experience in a professional office environment.

 

POSITION NOTES:
