Overview:

The Florida Gaming Control Commission is responsible for exercising all regulatory and executive powers of the state with respect to legal gaming, including pari-mutuel wagering, cardrooms, slot machine facilities, oversight of gaming compacts, and other forms of gambling authorized by state law, excluding the Lottery, as well as directly enforcing Florida’s gaming laws and combatting illegal gambling activities.

 

The agency is overseen by five Commissioners who are appointed by the Governor, with Commissioners appointing an Executive Director who leads a team of nearly 200 staff members. The mission of the Florida Gaming Control Commission is to preserve and protect the integrity of gaming activities through fair regulation, licensing, effective criminal investigation, and enforcement.

Position Duties and Responsibilities:

The FGCC is searching for an Administrative Assistant III to assist and support the Director of Administration and executive staff in the coordination of administrative tasks and/or assignments. This work involves the performance of administrative activities which involves independently planning administrative objectives, critical thinking skills, and planning. This position proofreads important documents which requires the incumbent to have excellent English and writing skills.

 

This is independent work assisting the Director of Administration and other division level management in the coordination of administrative tasks and/or assignments which are complex in nature and very broad in objective with integration of diverse functions.  This work involves the performance of administrative activities which involve independently planning administrative objectives and priorities. 

 

This position will be responsible for supporting and assisting the Director of Administration with division level administrative tasks. The duties include, but are not limited to, the following: 

  • Assists and supports the Director of Administration in conducting daily administrative tasks and/or assignments.
  • Maintains the Director of Administration’s calendar, and schedules meetings and appointments.
  • Assists in Forms Management for FGCC forms and assists the Director of Administration with coordination and management of FGCC Policies and Procedures. 
  • Responsible for preparing policies and procedures including excellent skills in formatting consistency, accuracy in punctuation, spelling, and completeness. Maintains a schedule of policies pending review by division owners. Ensures timelines and the policy for Adopting, Changing and Repealing AP&Ps is consistently followed as specified.
  • Assists the Director of Administration and division supervisors with scheduling interviews, including calling and emailing applicants, copying applications, and reserving the conference room.
  • Assists with scheduling travel, meetings, and preparation for meetings.
  • Assists in budget, compliance, fiscal, statistical, reporting, and other major office functions.
  • Performs contract management services for assigned contracts.
  • Prepares spreadsheets and Powerpoint presentations.
  • Performs special projects and other related work at the direction of the Director of Administration.

  • Advance knowledge of Microsoft Office products (Word, Excel, PowerPoint).

  • Knowledge of administrative principles and practices.
  • Knowledge of grammar, punctuation, and good sentence structure.
  • Knowledge of office procedures and practices.
  • Knowledge of the methods of data collection.
  • Knowledge of project management.
  • Knowledge of the principles and techniques of effective communication.
  • Excellent written and verbal communication skills.
  • Advanced computer skills.
  • Ability to establish and maintain effective working relationships with employees, all levels of management, and customers.
  • Ability to manage schedules, calendar events, and coordinate with other attendees.
  • Ability to manage projects.
  • Ability to proofread for accuracy and prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.

  • Ability to plan, organize and coordinate work assignments.

 

Minimum Qualifications:

  • Two (2) years of experience in a clerical or secretarial position.
  • Intermediate to advanced experience with Microsoft’s Office Suite.
  • General knowledge of State of Florida administration.

 

Preferred Qualifications, not required:

  • Bachelor’s degree from an accredited college or university.
  • Florida Certified Contract Manager Accreditation.
