Job Description
This position serves as the administrative secretary to the Bureau of Adult Education in the Division of Career and Adult Education and performs a variety of complex secretarial and administrative duties requiring a working knowledge of workforce education. This position performs administrative responsibilities to support Adult General Education, High School Equivalency and the Farmworker Career Development Program.

Duties and Responsibilities

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:
- The employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions.
- The employee must interact courteously with others.
- The employee’s performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit.
- Supports staff responsible for the implementation of the Adult Education State Plan and ensure that local providers are implementing Adult Education services in accordance with state and federal guidelines.
- Supports staff that provides Technical Assistance to local providers on how to implement and carry out Adult Education programs, services and activities.
- Supports staff responsible for the implementation of the Adult Education State Plan and ensure that local providers are implementing Integrated English Literacy and Civics Education services in accordance with state and federal guidelines.
- Supports staff responsible for providing Technical Assistance to local providers on how to implement and carry out Integrated English Literacy and Civics Education programs, services and activities.
- Sets up and maintains Excel spreadsheets for tracking grants in the Adult Education Services section and tracks any required information for IET Programs.
- Plans and organizes format and electronic publishing of Technical Assistance Papers, State Plans, and other documents utilizing word processing system.
- Performs revision and word processing of correspondence, memos, reports, and other office documents from rough draft and finalized copy for Adult Education.
- Employee complies with guidelines of Section 215.422, F.S., as it pertains to the direct responsibilities of this position and the Adult Education Services.
- Employee manages and keeps up to date a directory of adult education program locations in the state of Florida.
- Handles all travel materials and assists with travel and workshop arrangements for the Bureau of Adult Education:
- Prepares requisitions for travel, makes all necessary travel arrangements for professional staff as requested.
- Prepares accurate and correct travel itineraries upon request,
- Ensures all backup materials are attached to travel itineraries.
- Keeps employee files of travel requests and reimbursement.
- Maintains an accurate computerized budget for travel expenses.
- Creates such documents, memos, letters and other printed materials using word processing applications and software programs in timely manner.
- Prepares requisitions as needed through My Florida Marketplace.
- Participates in appropriate in-service training activities to promote personal development incorporating the department’s overall goals and objectives (e.g., Total Quality Management, Career Development, Time Management, etc.).
- Provides technical support and review for the Adult Education Bureau’s presentations.
- Prepares materials and folders for meetings, workshops, and conferences.
- Processes incoming/outgoing mail.
- Performs other related duties as required.
- Attendance is an essential function of this position.

Knowledge, Skills, and Abilities
- Knowledge of laws, regulations and procedures pertaining to many Department of Education, university, community college, and public school programs.
- Knowledge of letter, report and tabular formats.
- Knowledge of correct spelling, punctuation and grammar usage.
- Ability to communicate both verbally and in writing.
- Ability to establish and maintain effective working relationship with others.
- Ability to use e-mail.
- Ability to use software programs such as Word, Access, Excel, PowerPoint.
- Ability to prioritize workload.
Minimum Qualifications:
- Ability to provide work samples of writing skills for grammar, editing and communication review.
- Proficient in using software applications for travel planning and budgeting, including tools for booking accommodations and transportation, managing itineraries, tracking expenses, and generating financial reports.
Preferred Qualifications
Preferences will be given to applicants who have excellent writing skills and presentation experience.

- Annual Leave - All full-time Career Service employees filling established positions earn annual leave in varying increments dependent upon years of creditable service. Employees with up to 5 years of creditable service earn 8.667 hours per month, with 5 to 10 years earn 10.833 hours per month and those with over 10 years of service earn 13 hours per month.
