JOB DESCRIPTION:

This OPS position works directly with the Pre-Collegiate Programs Director to support the daily operations of the Pre-Collegiate Program. The position provides administrative, reporting and program support through document management, data tracking, process improvement and preparation of written and informational materials. The ideal candidate is highly organized, detail oriented, comfortable working with Microsoft Office applications and able to communicate effectively both verbally and in writing.

 

DUTIES & RESPONSIBILITIES:

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

 

  • Providing administrative and program support, reporting activities and special projects.
  • Assisting with improving workflow and simplifying reporting procedures by reviewing current practices and helping revise internal processes and materials.
  • Filing, maintaining, storing, retrieving, or reproducing documents, records, reports and other program materials.
  • Tracking program-related data and maintaining spreadsheets, logs, records and other internal reporting tools.
  • Preparing, revising, formatting, and organizing resources, guidance materials, manuals and other informational documents.
  • Drafting and editing written correspondence, summaries, charts, tables and other support materials used for program reporting.
  • Assisting staff, project partners and stakeholders by responding to requests and supporting day-to-day program needs.
  • Reviewing documents, reports, forms, and submitted materials for completeness, accuracy and consistency.
  • Supporting special assignments related to reporting, documentation, process updates and other office priorities.
  • Performs other related tasks assigned.

 

WHO WE’RE LOOKING FOR:

A highly organized and detail-oriented individual who demonstrates strong computer competence including Microsoft Office Suite, Microsoft PowerPoint, and Microsoft Excel. Excellent organizational and time management skills are a must. The incumbent must work independently, manage multiple tasks within deadlines and interact courteously with others. The performance and behavior of all employees must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit. Attendance is an essential function.

 

KNOWLEDGE SKILLS & ABILITIES:

  • Ability to prioritize, plan, organize, and coordinate assigned work.
  • Ability to work independently and manage multiple responsibilities within established timelines.
  • Ability to review information carefully for completeness, accuracy and consistency.
  • Ability to assist with process improvement and support efficient workflow.
  • Knowledge of office procedures, records management and administrative support practices.
  • Ability to prepare, revise, and format written materials and office documents using Microsoft Office applications, including Word, Excel, PowerPoint, and SharePoint.
  • Strong verbal and written communication skills.

 

MINIMUM QUALIFICATIONS

  • Must be a student enrolled in college and be able to provide a class schedule upon request.
  • Must have a high school diploma or its equivalent and two (2) years of clerical, administrative, or program support work experience.
  • Must have experience preparing written correspondence, maintaining records, tracking and organizing data is preferred.
  • Must be proficiency in Microsoft Office applications, especially Excel, Word, PowerPoint, and SharePoint, is preferred.

 

EDUCATIONAL SUBSTITUTIONS:

  • An associate’s degree from an accredited college or university may substitute for two (2) years of clerical, administrative, or program support work experience.
