MINIMUM REQUIREMENTS:
 

A bachelor's degree from an accredited college or university with a major course of study in marketing, business, merchandising, economics, agriculture, international affairs, leisure services, human development, human sciences, or communications and two (2) years of professional experience in administrative work, marketing, advertising, public relations, agriculture, international affairs, leisure services, business or industry development, the travel industry or in hotel or restaurant management; or
 

A master's degree from an accredited college or university with a major course of study in business administration and one (1) year of professional experience as described above.
 

Professional or paraprofessional experience as described above can substitute on a year-for-year basis for the required college education.
 

The candidate for this position will be required to possess a valid Driver License.

JOB DUTIES:
 

General: Assists the Outreach section with event coordination.  Attends meetings for event planning, promotion and execution in accordance with all division and department standards while managing all project delivery elements within time limits and budget.
 

Assists with the planning, organizing, managing and helps facilitate events that promote division programs.  Assists with pre-event logistics and onsite event management. Assists with the logistics of event set up, break down, and follow-up.
 

Assists with the production and delivery of event run of show, site specifications, staff specifications, event walk-through schedules and all other event execution schedules. Helps to organize and manage the invitation, registration, and attendee check-in processes. Sits in on meetings regarding branding and marketing of events. Reports arising issues and assists with troubleshooting any emerging problems during in a timely manner using tact, discretion, and diplomacy.
 

Assists with developing an annual budget and plan for meetings and events. Helps to monitor event budgets to prevent cost overruns and attrition charges. Shadows the purchase order and contract process for vendors and venues from creation to execution.  Reviews vendor invoices to ensure accurate billing and reconciles invoices to the event budget. Processes event associated invoices and purchasing card charges in accordance with the prompt payment requirements.
 

Coordinates and arranges event planning meetings. Ensures detailed minutes are taken during planning meetings. Works with division staff to measure and evaluate the effectiveness of division events. Assists with the establishment and maintenance of standardized event operational procedures. Participates in brainstorming sessions to improve event services and quality. Research tools and technology solutions to improve event satisfaction and generate interest and increased participation. Assists with the establishment of timelines for the planning of future events.
 

Researches and maintains a working knowledge of current industry trends including changes, cost drivers, market conditions and economic indicators to inform event planning strategies and timelines.  Represents the division and department at various conferences, meetings and events held at state and national levels. Builds and cultivates relationships with vendors, venues, convention and visitors’ bureaus, and other event professionals. Maintains a database of all division meetings, conferences and events that promote division programs. Maintains a database of potential venues for events for use in solicitation efforts. 
 

Assist with emergency management functions of the division during periods of disaster.
 

Performs other related duties and responsibilities as assigned or required.
