Your Specific Responsibilities:
This is a professional position responsible for improving the Program Management Office services.
- Reviews programs, services, forms and reports, and confers with management and users to identify problems and improvements.
- Gathers and organizes information on problems or procedures.
- Confers with personnel concerned to ensure successful functioning of newly implemented systems or procedures.
- Secures, evaluates, and documents evidence.
- Change Process Owner, change control using standard methods and control processes, review all change requests for completeness and accuracy. Create tickets for IT resources to prioritize work as needed to minimize disruption of services. Manage Change Control meetings, which changes are represented and if all pre-requisites are satisfied, approve for implementation. Lead weekly Change Control meetings to notify agency IT resources of any potential service disruptions.
- Maintain current COOP Plan documentation and develop new documentation as needed. Activate COOP procedures in the event of an emergency. Oversee the quarterly testing for critical applications identified in the COOP planning documentation.
- Act as the Point-of-Contact (POC) for COOP communications in the event of an emergency.
- Administer enterprise-wide licensing processes including but not limited to assigning/removing licenses, monitoring licensing requests, reporting on license utilization, and continually improvements to the license process.
- Assist with communications sent to end users and work with the Office of Communications.
- Other duties as assigned.
Required Knowledge, Skills, and Abilities:
Proficient computer skills to include Word, Excel, PowerPoint and Outlook; knowledge of monitoring processes and/or working with ticketing software; knowledge of computer data bases; knowledge of laws, legal codes, court procedures and government rules & regulations; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; understanding written sentences and paragraphs in work related documents; communicating effectively with others verbally and in writing; talking to others to effectively convey information; ability to establish and maintain effective working relationships with others; listening to what other people are saying and asking questions as appropriate; conduct fact-finding research; knowledge of the methods of data collection and analysis; organize data into logical format for presentation in reports, documents and other written materials; knowing how to find information and identifying essential information; finding ways to structure or classify multiple pieces of information; ability to plan, organize and prioritize work assignments; ability to work independently; ability to maintain a high degree of accuracy and close attention to detail; ability to maintain confidentiality; identifying the nature of problems using logic and analysis to identify the strengths and weaknesses of different approaches; knowledge of principles and processes involved in business and organizational planning, coordination, and execution.
Preferred Qualifications:
- High School Diploma or equivalent; AND
- Two (2) years of professional experience to include but not limited to, data entry, proper telephone and email etiquette, business document and correspondence preparation.
- Two (2) years of professional experience to include but not limited to reviewing, auditing, and analyzing documents for specific criteria; applying applicable laws, rules, regulations, policies, and procedures; researching and gathering data; preparing reports and correspondence.
- Must have a valid driver's license, satisfactorily complete a background investigation, fingerprinting, and participation in direct deposit are requirements for employment.
