ANTICIPATED VACANCY

 

LOCATION, CONTACT AND SALARY INFORMATION:

Location:  2737 Centerview Drive, Tallahassee, FL 32399

Salary: $1,864.09 bi-weekly ($48,466.44 annually)  (In accordance with current spending restrictions, if the appointment is an internal promotion, the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate, whichever higher.)

DUTIES AND RESPONSIBILITIES:

Monitor Title II, and additional federally funded programs by meeting monthly with federally funded recipients.

-Schedule monthly meeting for all federally funded recipients.

-Discuss monthly financials and services rendered during the previous month.

-Provide feedback to recipient’s questions.

-Distribute award notices.

-Review scopes and/or deliverables for services.

-Educate recipients on output/outcome measures.

-Create and facilitate the Federal Team Title II training for providers and Department staff.

-Coordinate and attend meetings with community partners to build collaboration and strengthen partnership.

 

Provide technical assistance to all sub-recipients receiving federal funds.

-Provide feedback to recipient’s questions as needed.

-Provide one on one guidance on reporting, tracking expenditures, and proper use of grant codes.

-Serve as an evaluator to review grant applications from solicitations once a year.

 

Review and evaluate internal applications to determine available funding and budget needs.  

-Receive and review applications for federal funds.

-Work with Grants Manager and Budget unit to determine if funding is available.

-Work with Grants Manager to approve or deny applications.

 

 

Review monthly programmatic and financial reports submitted from program recipients.

-Receive and review monthly reports for accuracy.

-Review reports to make sure financials are correct, allowable, and reasonable.

-Review output/outcome measures.

 

Work with Research and Data Integrity to update output/outcome measures on a yearly basis.

-Retrieve output/outcome measures for all federally funded awards. 

-Submit data to Research and Data Integrity. 

-Work with Research and Data Integrity to identify any discrepancies.

Serve as State Advisory Group (SAG) Liaison (point of contact) for SAG grants and contracts business.

-Prepare subcommittee agenda for conference call.

-Discuss potential agenda items with subcommittee chair.

-Transcribe meeting minutes from the conference call.

-Participate in SAG quarterly meetings.

-Create a SAG onboarding manual for new members.

-Collaborate with SAG members to ensure that updated orientation materials are provided.

 

Draft Federal grant applications.

-Coordinate conference calls with SAG members to discuss purpose areas for the upcoming year to help at risk youth.

-Transcribe minutes from the conference call.

-Work with state or federal agencies and internal stakeholders to inform of purpose areas and needs.

 

Draft the Annual Governor’s reports.

-Lead conference call with SAG members to discuss annual updates.

-Transcribe meting minutes from the conference call.

-Work with DJJ program areas to receive updates for the document.

-Ensure that the Annual Report is delivered to Governor’s Office in a timely fashion.

 

Perform other related duties as assigned.

MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of the methods of data collection and analysis.

Knowledge of basic management principles and practices.

Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to the improvement of operational and management practices.

Ability to organize data into logical format for presentation in reports, documents and other written materials.

Ability to conduct fact-finding research.

Ability to utilize problem-solving techniques.

Ability to work independently.

Ability to understand and apply applicable rules, regulations, policies and procedures relating to operational and management analysis activities.

Ability to plan, organize and coordinate work assignments.

Ability to communicate effectively.

Ability to establish and maintain effective working relationships with others.

 

PREFERRED QUALIFICATIONS:

A bachelor's degree from an accredited college or university and two years of administrative experience.

A master's degree from an accredited college or university can substitute for one year of the required experience.

SPECIAL NOTES:

This position requires a flexible work schedule due to some weekends and after hours (evening) work.

When identified on a position description, a valid driver’s license is required. If initially hired with an out-of-state license, the Florida resident must obtain a valid Florida state driver’s license within 30 days of hire. Licenses suspended or revoked for any reason, work permits (Business purpose/Employment/education only licenses) and some types of restricted licenses are not acceptable.  Licenses that have Corrective Lenses Restriction are acceptable, provided the driver wears corrective lenses while operating the vehicle.
