Duties and Responsibilities:

  • Pick up processed documents from sections to prep for scanning.
  • Prepares batched documents for scanning. 
  • Scans documents on image scanner. Inspects images as documents are scanned for quality assurance.
  • Makes corrections as necessary. 
  • Executes an application program in the data base to generate a bar coded batch cover page.
  • Generates production schedules. 
  • Operates computer peripheral hardware for production and production control.
  • Opens and reviews incoming mail.
  • Assembles documents for validation and image production.
  • Examines documents to determine what categories in the data base to input fees. 
  • Assists in research of records and tracking of documents to insure quality control. 
  • Validates documents with validation number and document tracking number.
  • Maintains document log.
  • Batches checks and forwards them to Fiscal Office for deposit. Opens and reviews all incoming mail. 
  • Assembles documents for validation and image production. 
  • Attaches checks to documents ensuring proper fees have been submitted. 
  • Batches documents based on type of filings/action, filing fee, and volume of documents.
  • Answers incoming Division calls to assist public with filing information as needed.
  • Performs other work related duties as required.

Knowledge/Skills/Abilities:

  • Knowledge of various Division of Corporations filing types and fees.
  • Skill in operation of validation and/or scanning equipment.
