  • 4 Years of administrative experience.

Duties and Responsibilities:

Serves as the assistant to the Director of the Division of Administrative Services-DOS.  Coordinates the overall administrative and clerical functions of the Division to include, but not limited to, report preparation, conducting research as appropriate, processing information requests, routing and tracking of all correspondence received in the Office of the Director, scheduling of and attendance at meetings on behalf of the Division Director and providing assistance to individuals contacting the Director's office via phone or email.   Prepares phone rotation schedules for providing phone assistance to the Office of the Secretary.  Assists in the preparation of legislative budget requests documentation and coordinates all activities associated with the Legislative Session, to include, but not limited to, bill tracking and analysis and report preparation, and maintains various databases.

Coordinates and directs Division activities related to hiring decisions to include, but not limited to, preparation of Personnel Action Requests (PAR's) and Requests to Advertise (RTA's) for key Division job vacancies.

Reserves and coordinates events for the Department of State's auditorium (Heritage Hall), utilizing the Department's R.A. Gray Events reservation calendar.  Responsible for the coordination of Department Staff for all events scheduled, to include preparation of "Service Request" for appropriate staff allocation for the event and notification of key R. A. Gray personnel for other event preparations.

Assists with special projects and performs other work related duties as may be required.

Knowledge/Skills/Abilities:

  • Proficient using Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to communicate verbally and in writing
  • Database management and correspondence and legislative tracking systems
  • Customer service experience
  • Preparing written communications
