Minimum Qualifications:

  • A high school diploma or its equivalent- or one year of secretarial or clerical work experience.
  • Proficiency in the use of personal computers including software such as MS Office Word, Outlook, and Excel.

 

Preferences:

  • Fluency in Spanish.
  • Two years of secretarial or clerical work experience.
  • Experience with customer service.
  • Experience with mail merges.
  • Experience with MyFloridaMarketplace.

Duties and Responsibilities:

Answers main telephone line; coordinates all daily mail delivery sorting and distribution; greets all visitors. Assists in the operation of the grants section including panel meetings, applications, and contracts. 

 

Prepares annual award documents for all grant programs. Creates the Excel spreadsheet for tracking each award contract. Keeps the spreadsheet accurate and up to date. Executes all contracts in dosgrants.com.

 

Coordinates and delivers panelist notebooks according to set schedule. Provides support for the grant panels.  Assists in creation of meeting documents for the Florida Council on Arts & Culture.

 

Maintains Division purchase orders and supplies.

 

Creates correspondence as directed by program managers.

 

Performs other work-related duties as required.

 

Knowledge/Skills/Abilities:

  • Ability to proficiently use personal computers including software such as MS Office Word, Outlook, & Excel.
  • Ability to effectively communicate through oral and written communications.
  • Ability to plan, organize, and coordinate work activities under strict deadlines.
  • Ability to establish and maintain effective working relationships.
