Minimum Qualifications:

  • High School Diploma or equivalent
  • One (1) year of clerical work experience

Duties and Responsibilities:

This is technical work requiring independent judgement in examining various business entity and financial filings and apostille/notarial requests for quality assurance and legal compliance in the Division of Corporations/Records Certification section.

Examines and processes service of process filings, business filings, and/or apostille/notarial certifications.  Examines and analyzes related information to determine compliance with laws and rules.  Makes determinations requiring applications of diverse law and polices and provides technical assistance to attorneys and others to correct defects and to assist as necessary.  Identifies defects and deficiencies and communicates verbally and in writing with attorneys, commercial and governmental entities, and applicants to assist in clarifications and verbal corrections.  Computes and verifies proper fees have been paid.

Assist callers and clients at the public counter with questions regarding certification of records, apostille/notarial certification, and service of process filings.

Independently conducts post-filing review of records for quality assurance. Maintains records and statistic of filings received, approved, or rejected, utilizing a complex interactive computer database. Performed independent research and verifications of corporate documents. Make copies and corrections as necessary and prepares correspondences.

Performs other work-related duties as required.

 

Knowledge/Skills/Abilities:

  • Ability to review business entity documents for compliance with applicable laws and regulations 
  • Knowledge of various business filings and related documents 
  • Ability to review data for accuracy and completeness
  • Ability to establish and maintain working relationships 
  • Ability to communicate both verbally and in writing
  • Ability to perform basic arithmetical calculations 
  • Ability to utilize a computer data base
  • Knowledge of principles and techniques of effective verbal and written communication 
  • Knowledge of legal terminology.
